Key Responsibilities

1. Office & Administrative Management

  • Oversee day-to-day administrative operations, including office facilities, utilities, supplies, and equipment maintenance.
  • Implement and improve office policies, systems, and procedures to enhance efficiency.
  • Manage company licenses, permits, agreements, and renewal of regulatory documents.
  • Ensure compliance with statutory requirements, company policies, and SOPs.

2. HR & People Management (General)

  • Support recruitment activities, staff onboarding, confirmation, and exit processes.
  • Oversee HR for maintain and update staff records (leave, attendance, contracts, medical claims, training records).
  • Assist in drafting HR policies, memos, and internal communications.
  • Support employee welfare, discipline, and staff engagement activities.

3. Procurement & Vendor Management

  • Oversee purchasing of office supplies, equipment, and services.
  • Negotiate with vendors and service providers for cost efficiency and quality assurance.
  • Work with Finance/Accounts for timely vendor payments and record-keeping.

4. Compliance & Safety

  • Coordinate with regulatory bodies, and auditors.
  • Maintain proper filing systems for company documents, contracts, and certificates.

5. Management Support

  • Prepare reports, letters, and presentations for management.
  • Provide secretarial support for meetings, including agenda, minutes, and follow-up actions.
  • Handle confidential and sensitive information with discretion.

6. Team Leadership

  • Supervise executives/assistants, assigning tasks and monitoring performance.
  • Provide training, guidance, and performance evaluation for staff.
  • Act as liaison between management and staff to ensure smooth communication.

What we're looking for

  1. Minimum 5- 8 years of experience in office management or a similar administrative role
  2. Excellent organisational and multitasking skills with a keen eye for detail
  3. Strong interpersonal and communication skills, with the ability to work collaboratively with various teams
  4. Proficient in Microsoft Office suite (Word, Excel, PowerPoint) and office equipment operation
  5. Experience in HR-related tasks, such as onboarding and employee record management, is preferred
  6. A proactive problem-solver with the ability to work independently and under pressure
