POSITION: Admin Assistant cum Foreign Worker Coordinator

LOCATION: Bintulu, Sarawak

EMPLOYMENT TYPE: Full-Time

WORKING HOURS:

• Monday – Friday: 8:00 AM – 5:00 PM

• Saturday: 8:00 AM – 12:00 PM


JOB RESPONSIBILITIES

Foreign Worker Management

  • Prepare, process, and track all work permit applications and renewals.
  • Handle renewal of CIDB cards and other relevant licenses for workers.
  • Monitor and manage the validity of passports, work permits, licenses, and visas for 300+ foreign workers.
  • Ensure full compliance with Malaysian immigration laws to avoid expiry penalties or legal issues.
  • Coordinate repatriation procedures (permit cancellation, consulate appointments, flight bookings).
  • Schedule medical examinations and submit medical reports to authorized agencies.
  • Maintain accurate and up-to-date foreign worker databases and generate reports for management.
  • Liaise with CIDB, JIM (Immigration), JTK, consulates, and external agencies.
  • Coordinate with HR, Finance, site foremen, and agencies regarding documentation, travel, and payments.
  • Ensure all workers deployed to site are legally approved, medically cleared, and properly documented.

Administrative Support

  • Maintain and update comprehensive worker profiles and records (digital & physical).
  • Manage office supplies and support daily office operations.
  • Assist in receiving and attending to visitors and clients.
  • Provide general administrative support to the team as needed.

REQUIREMENTS
  • Possess a valid driving license.
  • Minimum SPM or Diploma in a related field.
  • Minimum 1 year of working experience (construction industry highly preferred).
  • Fresh graduates with strong willingness to learn are encouraged to apply.
  • Able to communicate effectively in Bahasa Malaysia and English.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and Google Sheet.
  • Male or Female (Single candidate preferred).
  • Strong organizational and coordination skills.
  • Able to work under pressure and handle high volume of documentation.
