Personal Assistant to CEO

Job Responsibilities:
- Manage and coordinate the CEO's complex calendar, including meetings, appointments, events, and travel arrangements (domestic and international)
- Prepare briefing materials, presentations, reports, and other documents
- Monitor and follow up on action items, project timelines, and deliverables on behalf of the CEO
- Attend meetings, take minutes, and track follow-up items as required
- Act as the primary liaison between the CEO and internal/external stakeholders including senior leadership, clients, and business partners
- Ensure timely and effective communication, flagging critical matters that require the CEO's attention
- Draft high-level correspondence, proposals, and communications on behalf of the CEO
- Provide support for operational matters involving cross-functional teams
- Maintain the confidentiality of sensitive business and personal information
- Assist with occasional personal tasks and logistics management to optimize the CEO's time and focus
Qualifications & Requirements:
- Minimum 3–5 years' experience in a similar role supporting C-suite or senior management executives
- Bachelor's Degree in Business Administration, Management, or equivalent field
- Proven track record of managing executive-level communications, scheduling, and operations
- Excellent command of Mandarin, English and Bahasa Malaysia.
- Strong written and verbal communication skills with executive presence
- Highly organized with exceptional time management and multitasking capabilities
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Ability to work independently, proactive, resourceful, and solution-oriented
- Professional, discreet, and reliable with a high level of integrity
- Willingness to work flexible hours and travel when necessary
