Objectives of the Function:-
- To manage the credit control function and operation in East Malaysia
Roles and Responsibilities :-
- Check all Kuching direct sales collection. Key in payment & allocation of payment to invoices & remark PDC & outstanding balance in system.
- Key in collection summary voucher submitted by logistic team.
- Issue credit note for 2% early payment discount & transport charge to offset outstanding balance.
- Issue debit note & credit note for charge back -Customer wrongly charge or no supporting document.
- Issue debit note & credit note for wrong pricing.
- Print Kuching direct customer statement / Check or contra balance as requested by salesman.
- Download daily HSBC bank statement & inform Sibu, Miri, KK, Kuching when customers bank in.
- Check with HSBC bank to find out which customer bank in to YHS bank account when customer direct bank in cheque to YHS bank account without inform salesman.
- Key in payment collection for E.M. distributor & allocation. Print draft copy of CA/DA when requested by branches sales admin clerk.
- Print Monthly AR aging report to Salesman & Sales Supervisor.
- Print & send monthly statement to customers.
- Issue and send 1st, 2nd & final reminder letter to EM customers.
- Check & sign all Debit note & Credit note for inter company.
- Reporting daily cash movement & weekly bank reconciliation.
- Prepare monthly bank reconciliation.
- Update monthly write off report to sales department.
- Attend Monthly/Annual stocktake for YHS-T-Kuching & filing reports.
- Relief cashier when as and when required for cash counting, handle petty cash, issue vendor payment and assist to release the order block.
Requirements:-
- Minimum Diploma or higher in Finance, Accounting, Business, or a related field.
- Strong communication skills with the ability to interact effectively across all levels.
- Proven ability in collection and negotiation processes.
- Customer-oriented with a proactive and responsible attitude.
- Prior experience in finance-related roles, particularly in collections or accounts receivable.
- Proficiency in
Bahasa Malaysia
,
English
, and
Chinese
will be added advantage. - Proficient in
Microsoft Excel.
