Human Resources and Administrative Executive

We are seeking an experienced and proactive Human Resource Executive to assist in the full spectrum of HR functions, with a strong focus on both foreign worker management and local talent acquisition and development. The ideal candidate will be responsible for ensuring HR operations align with local laws and regulations, while supporting workforce planning, engagement, and compliance across all levels.

Key Responsibilities

1. Recruitment & Staffing

  • Assist with end-to-end recruitment for both local and foreign hires, including job postings, interviews, offers, and onboarding
  • Ensure fair, transparent, and timely recruitment processes

2. Foreign Worker Management

  • Coordinate all processes related to foreign workers, including recruitment, permit applications, renewals, FOMEMA check-ups, accommodations, and repatriation
  • Liaise with government agencies such as the Immigration Department, JTKSM, and KDN to ensure full compliance with employment regulations
  • Maintain up-to-date documentation and records of all foreign workers

3. Employee Relations & Welfare

  • Foster a positive work culture through effective communication, engagement programs, and conflict resolution
  • Assist with disciplinary procedures and grievance handling in accordance with Malaysian labor laws
  • Assist with welfare initiatives for both local and foreign workers, including overseeing health & safety practices and benefits

5. Administrative

  • Assist with audits and ensure readiness for inspections from government bodies (e.g., JTK, PERKESO, DOSH)
  • Handle administrative tasks such as document preparation, record-keeping, and coordination across departments.
  • Liaise with government authorities and external parties on permits, licenses, and other regulatory matters.
  • Provide general administrative and HR support as required by management.

Requirements

  • Minimum 2 years of HR experience, including at least 1 year handling foreign workers in Malaysia
  • Strong knowledge of Malaysian Labour laws with Act 446, Immigration policies, and JTK procedures
  • Fluent in English and Bahasa Malaysia. Knowledge of Mandarin or other languages is a plus
  • High level of integrity, confidentiality, and professionalism
  • Ability to multitask and work under pressure in a fast-paced environment
  • Possesses own transport and willing to run office errands

Preferred Qualifications

  • Experience in manufacturing, construction, plantation, or service sectors with high foreign worker dependency.
