About the role

BGS Trading Sdn Bhd is seeking an experienced HR&Admin Executive to join our dynamic team in Perai, Penang. This full-time position will play a crucial role in supporting our company's human resources and administrative functions. As part of our dedicated HR&Admin team, you will contribute to the overall success of the organisation by ensuring efficient and effective people management practices.

Key Responsibilities

Administration (Primary Role)

Office Management

  1. Oversee day-to-day office operations and ensure a well-maintained work environment.
  2. Manage office supplies inventory, stationery, pantry items and place purchase orders when required.
  3. Liaise with vendors, service providers and contractors (security,cleaning, maintenance, courier, IT support, etc.).
  4. Handle office equipment servicing, repairs and maintenance.
  5. Maintain proper filing systems for documents, contracts, and administration-related records.

Facility & Asset Management

  1. Monitor office facilities including meeting rooms, parking allocation, security access cards, etc.
  2. Maintain asset registers for laptops, phones, office equipment and ensure proper tracking.
  3. Assist in workplace health & safety initiatives.

Administrative Support

  1. Manage travel arrangements, accommodation bookings and logistics for staff.
  2. Coordinate company events, meetings, trainings and staff activities.
  3. Handle incoming/outgoing mails, courier, and communication materials.
  4. Prepare administrative reports, letters, memos and official documents.

Human Resources (Supporting Role)

Recruitment Support

  1. Assist in posting job ads, screening resumes and scheduling interviews.
  2. Coordinate with recruitment agencies where required.

Employee Records & Documentation

  1. Maintain and update employee personal files, HR database and attendance records.
  2. Assist in preparing employment letters, confirmation letters, warning letters, etc.

Leave & Attendance Administration

  1. Support leave management, timesheet checking and attendance data collection.
  2. Assist HR Manager in monthly payroll-related documentation.

Employee Relations Support

  1. Help organize employee engagement activities and onboarding sessions.
  2. Provide basic HR administrative assistance such as issuing forms or handling staff queries.
