About the role
We are looking for an Administrator to support comprehensive administrative, coordination, and documentation support across Nandina's functions including Operations, Sales, HR, Finance, and Legal. This role ensures smooth execution of daily workflows, enforces document discipline based on company SOPs and supports coordination across all Nandina offices. The Administrator will play a critical role in ensuring alignment between teams, maintaining structured documentation, and assisting leadership in executing company priorities efficiently.
Key ResponsibilitiesExecutive & Administrative Support:
- Provide direct administrative assistance to the leadership & cross-functional teams including scheduling, correspondence, and task coordination.
- Support preparation of reports, presentations, and briefing materials for leadership meetings.
- Assist in drafting, formatting, and maintaining internal documents and communications.
- Assist travel logistics, and coordinate meetings for leadership and cross-functional teams.
Documentation & Information Management :
- Maintain structured and compliant filing systems in Google Drive following Nandina's document control SOPs.
- Support version control, access management, and archiving of key company records.
- Track and organize company-wide policies, internal forms, and templates.
- Assist in contract registration, renewal reminders, and document repository updates.
Cross-Department Coordination:
- Act as a coordination point between functional teams (HR, Finance, Operations, Legal) for information flow and task alignment.
- Ensure accurate updates and summaries are submitted to the CEO Office for review.
- Help maintain consistency in documentation and reporting standards across all Nandina entities.
- Facilitate smooth communication and scheduling for inter-departmental or regional meetings.
IT & Systems Administration Support
- Assist in coordinating with IT leads for user access setup, email permissions, and data organization.
- Maintain an updated list of active users, device assets, and system permissions.
- Support implementation and tracking of digital tools (Google Workspace, PandaDoc, HRMS, etc.).
- Ensure adherence to company data security and confidentiality standards.
Compliance & Reporting Support :
- Support the preparation and maintenance of compliance-related documents, audit folders, and due diligence files.
- Help compile internal reports, trackers, and dashboards for management review.
- Ensure adherence to Nandina's document retention, privacy, and data-sharing policies.
- Assist in tracking policy updates, review schedules, and document acknowledgements.
Administrative Projects & Process Improvement
- Support administrative improvement initiatives and SOP updates under the CEO Office.
- Assist with internal audits, onboarding documentation, and governance activities.
- Propose process enhancements to improve document accessibility and workflow
