Job Title: Shipping Officer cum Customer Service

Location: Telokmas, Malacca

Employment Type: Full-Time, On-Site


Job Purpose

The Shipping Officer cum Customer Service is responsible for coordinating export and shipment documentation, managing customer requests, and ensuring smooth communication between customers and internal departments. This role supports the full order-processing cycle, from quotation to shipment, while maintaining accuracy, compliance, and excellent customer service.


Work Conditions
  • Office-based role in a manufacturing environment
  • Requires coordination with Sales, Planning, Warehouse, QA/QC, and Shipping teams
  • Fast-paced environment with strict documentation deadlines
  • Involves handling export files, customer communication, and shipment arrangements

Job Descriptions: Key Accountabilities / Responsibilities / Activities
  • To assist prepare Sales Quotation to customers upon request
  • To assist prepare Sales Order for Planner to schedule production
  • To assist prepare and submit Pro-Forma Invoice (PI) upon receiving Purchase Order (PO), when necessary
  • To assist prepare documentation for customers' complaints, requests, and inquiries
  • To assist handle customer surveys and feedback
  • To assist release customer invoices and coordinate sample submission for existing customers

  • To assist ensure compliance with order processing and shipping documentation SOP, including:

  • Container stuffing coordination

  • Export documents (Invoice, Packing List, Bill of Lading, Health Certificate, Certificate of Origin, Certificate of Analysis, etc.)
  • ANA reports
  • To assist liaise with the Planner to confirm ETD (Estimated Time of Delivery) for customers
  • To assist coordinate and monitor overall sales operations related to shipment arrangements
  • To assist coordinate sales events
  • To assist update customer database in the system when required
  • To be responsible for personal hygiene and environment, quality, safety, and 5S implementation
  • To assume corporate social responsibility (CSR)
  • To perform other duties assigned from time to time

Job Requirements
  • Diploma/Degree in Business Administration, Logistics, Supply Chain, or related field
  • Experience in shipping, export coordination, or customer service is an added advantage
  • Familiar with export documentation (CO, BL, PL, HC, CoA, etc.)
  • Good communication skills and customer handling abilities
  • Detail-oriented and able to manage multiple orders simultaneously
  • Proficient in Microsoft Office and documentation management
  • Able to work with cross-functional teams (Planner, QA, Warehouse, Marketing)
  • Strong organization and follow-up skills
