Job Summary:

The Solar Document Controller is responsible for managing and maintaining all project documentation related to solar energy projects, ensuring accuracy, accessibility, and compliance with company and client requirements. This role supports project managers, engineers, and contractors by maintaining a systematic filing system, tracking document revisions, and ensuring smooth communication and document flow across all project stakeholders.

Key Responsibilities:

  • Establish and maintain an effective document control system for solar project documentation (drawings, specifications, contracts, permits, correspondence, etc.).
  • Ensure all documents are accurately recorded, updated, and distributed to relevant stakeholders.
  • Manage and track document versions, revisions, and approvals in accordance with project and company procedures.
  • Support project teams by providing up-to-date drawings, technical documents, and records.
  • Maintain registers and logs for incoming and outgoing documents.
  • Ensure compliance with internal quality assurance (QA/QC) and document control procedures.
  • Liaise with project managers, engineers, contractors, and clients to ensure timely submission and approval of documents.
  • Archive completed project documents in accordance with company and regulatory requirements.
  • Provide training and guidance to project staff on document control procedures when necessary.

Qualifications:

  • Diploma or Bachelor's Degree in Business Administration, Engineering, or related field.
  • Minimum 1–3 years of experience in document control, preferably within the solar, construction, or energy industry.
  • Familiar with document control systems (e.g., Aconex, Procore, SharePoint, or equivalent).
  • Strong attention to detail, organization, and record-keeping skills.
  • Proficient in Microsoft Office (Excel, Word, Outlook) and PDF editing tools.
  • Good understanding of engineering drawings and technical documentation.
  • Excellent communication and coordination skills.
  • Ability to work independently and manage multiple tasks under tight deadlines.

Preferred Skills :

  • Experience in renewable energy or solar PV projects.
  • Knowledge of ISO 9001 documentation standards.
  • Familiarity with project lifecycle and quality management systems.
