The Duty Manager is responsible for supervising and controlling all room reservations and its operational procedures, assisting the department head in overseeing rooming requirements and the handling of day-to-day operational matters. arrangements.
Responsibilities:
- To ensure efficient handling of local and overseas individual or group.
- Bookings, facsimile or telex bookings and special room and discount requests.
- To ensure day-to-day efficiency of the section and to report regularly on happenings within the section.
- To follow-up on no-show list and group wash down daily.
- To update corporate rates and travel agent rates in the front office system.
- To confirm hotel reservations via letter, telex, facsimile or e-mail within 24 hours of the receipt of room reservations.
- To check arrival list, special billing arrangements, meal plan codes, traces and update correct input of origin, market segmentation, rates, special requests, VIP, etc. on a daily basis.
- To give a current update on reservation trends and forecast for current and future reservations
- To keep updated on room situations of the hotel and to maintain close control during overbooked situations.
- To oversee the supervision and co-ordination of the daily activities of the department.
- To review and follow-up of complaints or problems that arise.
- To carry out daily courtesy calls to guests to ensure a high level of personalized service and to rectify (negative) comments immediately.
- To make daily routine checks on saleable guestrooms and co-ordinate with the housekeeping department.
- To assist in the control of the issuance of the room keys and access to safe deposit boxes.
- To verify all checkout folios to ensure that all necessary documents, including bills, are attached.
- To check on cash floats of guest services agents at the end of their shifts.
- To check and verify all room discrepancies with the housekeeping department immediately.
- To attend to 'due out' rooms daily to ensure that there are no skippers. If any rooms are vacant, verify outstanding balance, if any and proceed to investigate and report to the department head.
- During full occupancy, to monitor closely room reservations to ensure that full occupancy is achieved for the day.
- To oversee the day-to-day operations of the front office in the absence of the department head.
- To ensure that all staff adhere to the rules and regulations of the company.
- To perform any other tasks as may be assigned by the Head of Department or the Management of the Hotel.
- To assist in any other ad hoc duties from time to time.
