Job Description:
1) Managing all administrative and clerical tasks for Nursing Division efficiently and effectively to achieve customer satisfaction. It is achieved by:
· Maintain a daily electronic calendar, arrange meetings and appointments and provide reminders as needed; maintain a master corporate calendar of any meeting, conferences, all-hands events.
· Organize and schedule meetings and appointments for Group Director of Nursing or Director of Nursing with internal and external parties or vendors.
· Arrange booking of meeting rooms/venues and setting up any resources required for the meeting.
· Answering telephone calls, responding to queries, and replying to emails.
· Type, photocopy, distribute and maintain general administrative memos, minutes and reports.
· Develop and carry out an efficient documentation and filing system for both paper and electronic records.
· Take dictation and meeting minutes, accurately enter notes and distribute.
· Operate videoconferencing systems, organize paperwork and prepare reports and presentations.
· Provide secretarial support for projects and events.
· Compiling nursing division budget for submission.
· Provide prompt customer services i.e. directing them to the right person.
· Work closely with Nursing HODs in preparing posters, signage or in completing any documentations required for MSQH, ACHS or JCI audits.
2) Managing office supplies and equipment maintenance. It is achieved by:
· Keeping track all the supplies/stationeries used in the office and reorder them from vendors on a regular basis.
· Follow up on asset/stationery purchase requisition from Procurement and highlight any variances.
· Manage office expenses and budgets appropriately.
3) Handling annual APC renewal application for all staff nurses & Nursing Head of Departments. It is achieved by:
· Collaborate with Human Resources in setting up the timeline and arrangements of APC application.
· Distributing, compiling and sorting all the APC Renewal Application Form accordingly based on the timeline.
· Keep and maintain the valid APC copy in the Nursing Division unit.
4) Support all issues pertaining to training and development for Nursing Division. It is achieved by:
· Liaising with Human Resources on any suitable training and development for staff nurses and Nursing Head of Departments.
· Seeking further information about related training with external training providers.
· Collaborate with Human Resources on registration of participants.
· Keeping track and update process status i.e. staff nurses training payment especially for external training.
5) To perform other related duties as assigned by superiors. It is achieved by:
· To undertake errands for the unit.
· Assist in any Nursing Division activities e.g. Nurses Day Event, Bazaar Sale and etc.
· The incumbent can expect to be allocated duties, not specifically mentioned in this document, that are within the capacity, qualifications and experience normally expected from persons occupying jobs at this classification level.
Job Requirements:
- Diploma/Degree in Business Administration/Healthcare Administration or equivalent.
- Minimum 3 years working experience in secretarial or administration work, preferably in supporting top management and professional level in a Health Care facilities.
- Skills: Microsoft Office, verbal and written communication, self-initiative, multitask, and organization.
