As we continue growing, we are looking for a committed and detail-oriented Payroll Officer to strengthen our HR & Finance operations.
Job ResponsibilitiesPayroll Processing
- Prepare and process monthly payroll accurately and on time for all staff (full-time, contract, locum).
- Verify attendance records, OT claims, on-call allowances, shift allowances, and other pay elements.
- Ensure all statutory deductions are correctly calculated (EPF, SOCSO, EIS, PCB, HRD Corp).
- Update and maintain payroll data such as new hires, resignations, increments, promotions, and contract changes.
- Check and validate staff claims, medical claims, and allowances before payroll cutoff.
- Coordinate with department heads to ensure accurate timesheets and approvals.
- Ensure compliance with the Sabah Labour Ordinance (Cap. 67), statutory requirements, and internal policies.
- Prepare monthly payroll reports for management (manpower cost, OT cost, variances).
- Handle statutory submissions (EPF, SOCSO, EIS, LHDN, HRD Corp).
- Support audits (internal/external) by providing payroll-related documents.
- Maintain organised HR payroll files, confidential information, and digital records.
- Update and maintain attendance system (thumbprint/face-scan system).
- Handle staff inquiries regarding salary, leave balances, deductions, and benefits professionally.
- Assist in preparation of annual increment and bonus worksheets.
- Support HR in matters related to staff movement, contracts, and confirmations.
- Liaise with Finance for reconciliation, budget planning, and monthly financial closing.
- Participate in process improvement and ensure payroll procedures follow SOPs.
- Diploma/Degree in HR, Accounting, Business, Finance, or related field.
- Minimum 1–3 years of payroll experience.
- Hands-on experience with payroll software (if required)
- Strong understanding of statutory requirements (EPF/SOCSO/EIS/PCB/HRD Corp) and Sabah Labour Ordinance.
- Strong attention to detail, high accuracy, and confidentiality.
- Good communication and interpersonal skills.
- Ability to work independently, meet deadlines, and manage sensitive information.
- Experience in healthcare or shift-based industries is an added advantage.
