Assistant Project Manager

Job Description:

We are seeking a proactive and detail-oriented Assistant Project Manager to join our team in Malaysia, focusing on the fast-growing digital space in Data Center and Telecommunications industries. The role is pivotal in supporting Project Management Office (PMO) by managing project scope, schedule, budget, inventory, logistics, coordinating with internal and external teams, prepare project documents, and ensuring smooth project delivery and operations.

This position is ideal for someone who enjoys working in a fast-paced environment, has strong organisational skills, and thrives on managing multiple projects. This role also requires basic engineering knowledge of customers' needs (electrical, mechanical, IP network and optical fibre technical know-how) and the ability to craft/translate tailored/bespoke commercial solutions to meet customers' demands.

Key Responsibilities:

• Plan, prepare and manage project materials and budget to ensure successful project delivery.
• Strong follow-up and push for completion of project tasks.
• Manage project scope and schedules with the goal to complete the projects ahead of schedule.
• Strong communicator between Field Engineers (Malaysia and Japan), Customers, and internal stakeholders.

• Collaborate with internal departments (Pre-Sales, Sales, PMO and Finance Operations) to ensure timely delivery of products and services:

• Verify PreSales design to ensure Sales have accurate engineering information.

• Procurement of stock, materials and services from suppliers / partners to deliver bespoke network engineering solutions and services to customers.
• Arrange and perform shipment coordination with suppliers, vendors, 3PL and customers.
• Trigger accurate purchase orders and coordinate lead time with suppliers for prompt stock arrival to the warehouse or customer site.
• Onboarding of new suppliers, partners and subcontractors.
• Application and renewal of regulatory authority's licenses and permits, if applicable.
• Maintain accurate records of inventory in ERP system.
• Ensure ISO9001 Quality processes are comply with.
• Adhere to company policies, procedures and business ethics codes.
• Be a strong customer advocate; ensuring high level of customer satisfaction and retention.

Qualifications & Experience:

• Diploma in Engineering with Business Administration is preferred.
• Prior experience in a sales support, or project management role is an advantage.
• Strong communication and interpersonal skills, with a customer-centric mindset.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and ERP system.
• Excellent organisational skills and attention to detail.
• Ability to multitask, prioritise, and work effectively under pressure.
• Team player with a proactive and problem-solving attitude.
