- Oversee daily office operations and ensure smooth administrative functions.
- Manage and organize a full range of administrative duties including documentation, filing, record management and correspondence.
- Liaise with clients and partners from China in administrative matters.
- Prepare, manage and translate official documentations such as confidential documents and reports from Mandarin into English.
- Handle correspondence, emails, phone calls and inquiries in Mandarin and English professionally.
- Arrange and manage meetings, schedules and travel arrangements for associates.
- Prepare meeting agendas, take minutes and follow up on action items.
- Maintain inventory of office supplies, stationery and equipment.
- Assist in HR related tasks such as recruitment coordination, onboarding and employee record maintenance.
- Organize and support company events, associate activities and training sessions.
- Draft internal announcements, memos and assist in company communication.
- Ensure compliance with company policies, procedures and administrative standards.
- Monitor and follow up on administrative requests and tasks across different entities to ensure timely completion.
- Coordinate and support daily administrative operations with other subsidiary companies.
- Maintain confidentiality and ensure proper documentation flow within the organization and subsidiaries.
- Continuously identify areas for administrative improvement and suggest efficient solutions.
- Perform ad hoc tasks and other duties as assigned by the Management.
Requirement:
- Diploma or Degree in Business Administration, Management or related field.
- Excellent command of Mandarin and English in both written and spoken are mandatory.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and digital communication tools.
- Strong administrative, organizational, time management and multitasking abilities.
- Responsible, reliable and detail oriented with a positive working attitude.
- Fresh graduates are encouraged to apply and training will be provided.
