1. Tender & Cost Estimation (Pre-Contract)

  • Review and analyse tender documents, drawings, and specifications to fully understand project scope and client requirements.
  • Prepare preliminary and detailed cost estimations based on Bill of Quantities (BQ), unit rates, historical data, and project assumptions.
  • Identify scope gaps, discrepancies, and unclear information; prepare and submit Requests for Information (RFIs) for clarification.
  • Coordinate with Engineering, Procurement, and other relevant departments to gather technical and commercial inputs for accurate costing.

2. Quotation & Proposal Preparation

  • Prepare comprehensive tender submissions including cost breakdowns, technical proposals, and supporting documentation.
  • Develop pricing strategies and prepare cost sheets for management review and approval.
  • Assist in preparing technical write-ups, method statements, and project execution approaches required for tender proposals.

3. Vendor & Subcontractor Coordination

  • Source, invite, and follow up on quotations from suppliers and subcontractors for tender-related items.
  • Evaluate and verify quotations to ensure compliance with specifications, drawings, and commercial requirements.
  • Prepare quotation comparison sheets and present recommendations for management decision-making.

4. Tender Interviews & Clarifications

  • Attend tender clarification meetings with clients, consultants, and stakeholders.
  • Support management during tender negotiations, presentations, and interviews.
  • Amend and update proposal documents based on post-clarification feedback or revised tender requirements.

5. Documentation & Filing

  • Maintain organised records of all tender submissions, correspondences, clarifications, and cost data for audit and reference.
  • Build and update a structured database of vendors, subcontractors, material price lists, and historical tender information.

6. Ad-Hoc Tasks

  • Conduct market research on construction costs, pricing trends, and industry benchmarks.
  • Undertake any other assignments related to tendering, proposals, or pre-contract activities as directed by management.
