The Operations Officer is responsible for ensuring the smooth day-to-day functioning of the institution's facilities, maintenance activities, and operational processes. This role ensures a safe, efficient, and service-oriented institution environment for students, staff, and visitors. The Operations Officer also oversees customer service and support functions to maintain high satisfaction levels among the college community.

Working days:

Wednesday – Sunday

Monday and Tuesday – Off days

Basic Salary:

RM 2,200.00

Key Responsibilities:

1. Operations Management

  • Oversee daily operational activities across the institution to ensure seamless functioning of all departments.
  • Coordinate logistics for academic and administrative events, such as classes, exams, and events.
  • Assist in developing and implementing operational policies, procedures, and safety standards.

2. Maintenance & Facilities

  • Supervise maintenance, repairs, and general upkeep of buildings, classrooms, pantry and common areas.
  • Coordinate with contractors, vendors, and service providers for maintenance
  • Monitor utilities (electricity, water, HVAC, etc.) and ensure preventive maintenance schedules are followed.
  • Ensure compliance with health, safety, and environmental regulations.

3. Customer Service & Frontline Support

  • Oversee customer service operations to ensure timely response to inquiries, complaints, and requests.
  • Serve as the main point of contact for students, and visitors regarding operational matters.
  • Implement and monitor feedback systems to improve service quality and institution experience.

4. Administration & Reporting

  • Maintain accurate records of operational activities, maintenance schedules, and service contracts.
  • Prepare regular reports on facility status, operational performance, and service issues.
  • Recommend improvements to enhance operational efficiency and cost-effectiveness.

Qualifications:

  • Minimum Diploma in Business Administration, Facilities Management, Operations Management, or related field.
  • Strong organizational, multitasking, and problem-solving skills.
  • Excellent communication and customer service abilities.
  • Proficiency in MS Office and facility management systems.
  • Flexibility: Willingness to work a variety of shifts
  • Certified OSH Coordinator Course will be added value
  • Certified ICT/Computer technician will be added value
  • 2-5 years working experience in related filed will be added value
