Senior Human Resources Executive

The Senior Human Resources Executive will play a key role in overseeing critical HR functions, with a primary focus on Payroll Administration, HRDF Processes, and Foreign Worker Management (FWCMS). You will ensure accurate payroll execution, compliance with statutory and HRDF requirements, and smooth handling of foreign worker documentation and processes. In addition, you will support broader HR operations to promote efficiency, compliance, and a positive workplace culture.
Key Responsibilities
Payroll Administration
- Lead end-to-end payroll processing to ensure accuracy, timeliness, and full statutory compliance (EPF, SOCSO, EIS, Income Tax, etc.)
- Maintain and update employee data, attendance, overtime, and benefits in the HR system.
- Review and verify payroll reports, statutory submissions, and management summaries.
- Handle queries related to payroll, compensation, and statutory deductions efficiently.
- Continuously review payroll procedures to improve accuracy, compliance, and efficiency.
HRDF Management
- Manage all HRDF-related processes, including training grant applications, claims submissions, and monthly reporting.
- Ensure compliance with HRDF policies and maintain up-to-date documentation for audits and inspections.
- Liaise with HRDF officers, training providers, and internal departments to ensure effective training program administration.
Foreign Worker & FWCMS Administration
- Oversee the full lifecycle management of foreign workers, including recruitment, work permit applications, renewals, and terminations.
- Manage all FWCMS-related processes and documentation to ensure full compliance with government regulations.
- Coordinate with relevant authorities, agencies, and internal stakeholders on foreign worker matters.
- Maintain proper records and reporting for foreign workforce activities.
General HR Responsibilities
- Support recruitment activities, including shortlisting, interviewing, and onboarding new employees.
- Assist in employee relations, performance appraisal processes, and HR policy implementation.
- Prepare and maintain HR reports, metrics, and documentation.
- Participate in HR improvement initiatives, audits, and ad-hoc HR projects as assigned.
Requirements
- Degree in Human Resource Management, Business Administration, or a related field.
- Minimum of 3–5 years of hands-on HR experience, preferably in a generalist role with strong exposure to payroll, HRDF, and foreign worker management (FWCMS).
- Proven expertise in payroll administration, HRDF processes, and FWCMS/foreign worker management.
- Strong knowledge of Malaysian employment laws and statutory requirements (EPF, SOCSO, EIS, LHDN, HRDF).
- Excellent organizational, analytical, and communication skills.
- High attention to detail, accuracy, and confidentiality.
- Ability to work independently and manage multiple responsibilities effectively.
