Procurement Management:
Identify procurement needs for projects and develop procurement strategies.
- Source and evaluate vendors, negotiate contracts, and establish supplier relationships.
- Ensure compliance with procurement policies, procedures, and regulations.
- Monitor procurement budgets and control costs effectively.
- Manage E-Perolehan System: Oversee the e-perolehan (e-procurement) system, including monitoring bids, managing supplier/vendor profiles, and ensuring system integrity and data accuracy.
Monitor and manage bids, tenders, and procurement processes through the e-perolehan system, ensuring transparency, fairness, and compliance with procurement guidelines.
Legality and Licensing
Prepare and filing of legal documents, including contracts, agreements, and licenses.
- Maintain and update records, databases, and filing systems related to licenses, permits, and legal matters.
- Manage legal documentation and archives.
- Communicate and liaise with external parties, such as government agencies, legal counsel, and regulatory bodies.
- Conduct research on legal and regulatory requirements relevant to the company's operations.
Policy and Procedure Adherence:
Ensure compliance with organizational policies and procedures.
- Implement and enforce guidelines to maintain a compliant and efficient work environment.
Project Planning and Coordination:
Initiate, plan, and execute projects to meet organizational objectives.
- Develop project plans, timelines, and budgets in collaboration with relevant stakeholders.
Coordinate project activities, ensuring adherence to timelines and budget constraints.
Communication and Stakeholder Engagement:
Serve as a liaison between different departments and project teams.
- Communicate project goals, updates, and outcomes to stakeholders effectively.
Foster collaboration and maintain positive relationships with internal and external partners.
Documentation and Reporting:
Maintain accurate and organized project documentation.
Generate reports on project progress, challenges, and outcomes for management review.
Resource Management:
Manage and allocate resources efficiently for both administrative and project-related tasks.
Monitor resource utilization to ensure optimal efficiency.
Problem Solving:
Identify challenges and proactively implement solutions.
Troubleshoot issues related to both administrative processes and project execution.
Quality Assurance:
Implement and uphold quality standards in both administrative and project deliverables.
Conduct regular assessments to identify areas for improvement.
Administrative Management:
Supervise and optimize day-to-day administrative operations, including office management, facilities, and support services.
- Streamline administrative processes to enhance efficiency and productivity.
- Ensure a well-organized and conducive working environment.
Project Coordination:
Collaborate with project managers to define project requirements, timelines, and deliverables.
- Coordinate with internal teams and external stakeholders to ensure smooth project execution.
- Track project progress, identify potential risks, and implement mitigation strategies.

Cross-functional Collaboration:
