Job Description (JD):

The Payroll Specialist is responsible for managing end-to-end payroll operations using AutoCount HRMS, ensuring accurate and timely salary processing, statutory compliance, deductions management, and payroll reporting. The role also involves validating attendance, managing shifts, addressing payroll discrepancies, and providing support to employees and management. Key responsibilities include:

  • Payroll Processing
  • Execute monthly payroll cycles accurately and on time using AutoCount HRMS.
  • Maintain records of salaries, allowances, deductions, and commissions.
  • Validate attendance and rosters to ensure correct payroll.
  • Ensure compliance with Employment Act 1955, Minimum Wages Order, and statutory regulations.
  • Shift & Attendance Management
  • Review shift schedules, roster changes, overtime, and shift allowances.
  • Validate clock-in/out and leaves; troubleshoot discrepancies with supervisors.
  • Statutory Compliance
  • Prepare and submit reports for EPF, SOCSO, EIS, PCB, HRD Levy.
  • Keep payroll systems updated with statutory changes.
  • Employee Data & HRMS Maintenance
  • Maintain employee master data and payroll documentation securely.
  • Reporting & Analytics
  • Prepare payroll summaries, overtime, costing reports, and ad-hoc analytics.
  • Employee Support
  • Respond to payroll queries and guide employees/managers on AutoCount HRMS usage.
  • Year-End & Audit Support
  • Assist with EA Form preparation and provide documentation for audits.

Job Requirements (JR):

  • Diploma or Degree in HR, Accounting, Business Administration, or a related field.
  • 1–3 years of payroll processing experience, preferably in retail or high-volume workforce.
  • Strong knowledge of Malaysian labour laws and statutory compliance.
  • Proficient in AutoCount HRMS, HRIS systems, and Microsoft Excel.
  • High attention to detail, accuracy, and confidentiality.
  • Good communication and interpersonal skills.
