JOB DESCRIPTION:

  • Provide secretarial support to the GM and assist him with the daily duties in the Executive Office.
  • Receiving and screening phone calls and redirecting them to GM when appropriate.
  • Handle confidential documents ensuring they remain secure.
  • Compile, transcribe, and distribute minutes of meetings.
  • Handling all secretarial work for the Executive Office and the GM.
  • Maintain discretion and confidentiality of the Executive Office and the GM per se.
  • Promptly replying to all correspondence without constant supervision.
  • Coordination with all HODs for various official reasons.
  • Coordination/follow-ups with departments on daily complaints, night reports, requisitions, cheques etc.
  • Coordination with HODs for the monthly report.
  • Responsible to collate any information requested by the GM and provide him as and when requested.
  • Handle and distribute incoming and outgoing mails.
  • Handle incoming parcels and other materials.
  • Prepare letters, memos, and other documents using Microsoft word as requested by GM.
  • Operate standard office equipment other than computers such as telephone, fax, photocopier, laminating machine, binding machine and all other electronic peripherals.
  • Document and communicate all guest requests/complaints to appropriate personnel.
  • Compile and compute the monthly Guest Comment Reports for the GM and Management Meeting.
  • Organize and coordinate meetings as requested by the GM.
  • Maintain schedules and calendars of the GM.
  • Arrange and confirm appointments after consulting with the GM on his availability.
  • Coordinate the flow of information professionally both internally and externally.
  • Operate office equipment and also manage the Executive Office space effectively.
  • To always adhere to personal grooming as per the standards laid down by the hotel and maintain high standards of grooming.
  • In addition to the above functions, any other assignment/job given by the superior authority occasionally or on a daily basis is to be performed.

JOB REQUIREMENTS:

  • Possess at least Diploma in Secretary or equivalent.
  • Proven work experience as a Secretary or Administrative Assistant.
  • Excellent written and verbal communication skills.
  • Experience maintaining and prioritizing a manager's calendar
  • Multi-tasking and time management capability.
  • Organized, integrity and professionalism.
  • Proficiency in MS Office (Word, Excel & Powerpoint).
  • Knowledge of specific software programs used within your organization.
  • Ability to work independently.

Job Types:

Salary:
RM2, RM2,500.00 per month
