Job Procedures

  • Relieve and assist the Reservation Manager as required.
  • Maintain uptodate and accurate reservation records.
  • Ensure all reservations received are recorded and entered into the computer system, and that the reservation status is always uptodate.
  • Compile daily, weekly, and monthly reports as per hotel policy.
  • Prepare reservations for review by the Front Desk.
  • Maintain the waitlist and monitor closely on the cutoff date.
  • Regularly review written communications for sales leads and advise the Sales Department of any leads found.
  • Handle guest comments or complaints related to the services of the Reservations Department and take necessary action.
  • Maintain and update guest history files and merge and purge data in liaison with Front Office Management.
  • Adhere to hotel policy at all times.
  • Constantly improve the image of the Reservation Department.
  • Upsell to higher room categories to achieve or exceed the forecasted average room rate.
  • Enter and process reservations and confirmations for the hotel.
  • Record all inquiries not booked.
  • Maintain an accurate filing system.
  • Maintain group files and prepare group rooming lists as required.
  • Prepare the daily arrival list, check all reservations against special requirements, and update traces and correspondence details.
  • Maintain and update Sales Office KL information and room inventory regularly.
  • Provide accurate information about all Hotel Equatorial hotels, their services, and facilities.
  • Maintain and update guest profiles and history regularly.
  • Maintain and update company, travel agent, and source profiles regularly, providing accurate information as required.
  • Comply with instructions or assignments given by the Department Head and Reservation Manager when requested.

Qualifications

  • High school diploma or equivalent; college degree preferred.
  • Previous experience in a front office or administrative role, preferably in a hotel or hospitality setting.
  • Strong communication and interpersonal skills.
  • Proficiency in using computer systems and software for reservations and administrative tasks.
  • Ability to handle stress and remain composed under pressure.
  • Strong organizational and problemsolving skills.
  • Ability to work both independently and as part of a team.

Pay:
From RM2,000.00 per month

Education:

  • STM/STPM (preferred)

Experience:

Office Assistant: 1 year (preferred)

Language:

  • Mandarin (preferred)
