Position Summary:

The Executive Assistant (EA) to the CEO plays a pivotal role in supporting the CEO by facilitating effective communication with internal and external stakeholders, managing critical business data, and ensuring smooth operations at the executive level. This role requires exceptional organizational skills, analytical acumen, and the ability to act as a trusted liaison between the CEO and internal/external parties.

Key Responsibilities:

  1. Stakeholder Communication & Relationship Management
    Act as a primary liaison between the CEO and internal/external stakeholders, including business partners and key customers.
    Represent the CEO in communications with senior executives, department heads, and external partners.
    Ensure key messages and directives from the CEO are clearly communicated and followed through.
  2. Data Compilation, Analysis & Insight Generation
    Gather critical business data from different stakeholders across various departments.
    Compute, analyze, and generate reports with actionable insights to support the CEO in strategic decision-making.
    Identify trends, opportunities, and risks through data-driven analysis.
  3. Decision Facilitation & Troubleshooting
    Assist in facilitating and expediting the CEO's decision-making process by providing well-researched insights and recommendations.
    Chair meetings on behalf of the CEO to address ad-hoc issues and coordinate problem resolution.
    Act as an escalation point for urgent operational matters and propose practical solutions.
  4. Calendar & Schedule Management
    Manage the CEO's calendar efficiently, prioritizing appointments and engagements based on business needs.
    Plan and schedule internal and external meetings, ensuring optimal time management.
    Anticipate scheduling conflicts and proactively resolve them.
  5. Confidentiality & Executive Support
    Handle sensitive and confidential information with discretion.
    Prepare briefing materials, reports, and presentations for the CEO.
    Support the CEO in administrative tasks to enhance efficiency and productivity.
  6. Process Improvement & Strategic Initiatives
    Identify opportunities to improve internal processes to enhance executive operations.
    Support the CEO in executing strategic initiatives and monitoring progress.
    Act as a project coordinator for special assignments as directed by the CEO.
  7. Travel & Availability
    Willing to travel whenever required to support the CEO's business needs.
    Available to work on weekends or out of normal working hours if necessary to fulfill job responsibilities.

Qualifications & Skills:

  • Candidates who possess at least a Degree in Marketing/Business Management or equivalent field.
  • Minimum 5+ years of experience as a Personal Assistant (PA) to a Director or C-Level Executive.
  • Prior experience in a multinational company (MNC) is an added advantage.
  • Strong communication and interpersonal skills to effectively engage with stakeholders.
  • Analytical mindset with the ability to interpret and present data insights.
  • High level of discretion and professionalism in handling sensitive information.
  • Ability to multitask and work in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and business analysis tools.
  • Advanced Excel skills (Pivot Tables, Power BI) with the ability to process and analyze data efficiently.
  • Willing to work at Kulim Hi-Tech.
