We are looking for a highly organized and detail-oriented Administrative Assistant to support our events team. This role involves handling day-to-day administrative tasks, coordinating with vendors and clients, managing office operations, and assisting with event logistics. The ideal candidate should have strong communication skills, be proactive, and thrive in a fast-paced environment.

Key Responsibilities:
  • Provide administrative support to the events and management team.
  • Manage emails, phone calls, and correspondence with clients, vendors, and team members.
  • Assist in scheduling meetings, preparing reports, and maintaining records.
  • Coordinate travel arrangements, accommodations, and logistics for events.
  • Handle data entry, invoicing, and basic bookkeeping tasks.
  • Maintain and organize event documentation, contracts, and files.
  • Assist with inventory management for event supplies and office materials.
  • Support event planning by liaising with vendors, venues, and suppliers.
  • Prepare presentations, reports, and documents as needed.
  • Ensure the office runs smoothly by managing daily operations and supplies.
Job RequirementsQualifications & Skills:
  • Bachelor's degree or diploma in Business Administration, Event Management, or a related field (preferred but not required).
  • 1-3 years of experience in an administrative role (experience in an events company is a plus).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Docs, Sheets, Drive).
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Ability to work in a fast-paced, deadline-driven environment.
  • Attention to detail and strong problem-solving skills.
  • Knowledge of basic accounting or invoicing software (QuickBooks, Xero) is a plus.
  • Previous experience in event coordination or office administration is an advantage.
Preferred:
  • Familiarity with event management software (Trello, Asana, Monday.com) is a plus.
  • Experience working with vendors, suppliers, and clients in an events setting.
