Job Overview:

We are seeking an experienced and highly organized Office Manager with a strong Human Resource background to join our dynamic team. The ideal candidate will play a key role in maintaining office operations, managing administrative tasks, and supporting HR functions to ensure a productive and compliant work environment. This role requires a versatile individual who is adept at handling day-to-day office operations while also supporting employee relations, recruitment, benefits administration, and other HR related tasks.

Key Responsibilities:

Office Management:

  1. Oversee the daily operations of the office to ensure a smooth and efficient work environment.
  2. Coordinate office supplies, equipment, and services to maintain a well-organized workspace.
  3. Manage office schedules, including meetings, conferences, and travel arrangements.
  4. Serve as first point of contact for internal and external stakeholders, addressing inquiries and providing assistance as needed.
  5. Ensure office space is clean, safe, and well-maintained, coordinating any necessary maintenance or repairs including handling requirement with office Landlord.
  6. Manage office budgets and track expenses related to office supplies and equipment.

Human Resource Support:

  1. Assist with the recruitment process, including posting job advertisements, screening resumes, scheduling interviews, and coordinating new hire onboarding.
  2. Maintain employee records, ensuring compliance with company policies and legal regulations, and rules governed by the Company Handbook.
  3. Assist in employee performance management processes, including performance reviews and employee development. Handling employee grievances, conflict resolution, and disciplinary actions.
  4. Coordinate training sessions and employee development programs.
  5. Provide support for employee relations issues, offering guidance on company policies and procedures.
  6. Ensure compliance with labor laws and regulations, maintaining up-to-date knowledge of HR best practices.
  7. Support the HR team in handling employee grievances, conflict resolution, and disciplinary actions.

Qualifications:

  1. Proven experience as an Office Manager, Administrative or HR tasks.
  2. Strong knowledge of office management procedures and human resource practices.
  3. Familiarity with HR software (e.g.: payroll systems, applicant tracking systems) and Microsoft Office Suite.
  4. Excellent organizational, multitasking, and problem-solving skills.
  5. Ability to maintain confidentiality and handle sensitive information.
  6. Attention to detail with the ability to manage multiple tasks efficiently.
  7. Ability to work independently as well as part of a team.

Preferred Qualifications:

  1. Certification in HR (e.g.: SHRM-CP, PHR) is a plus.
  2. Experience with employee training and development programs.
  3. Knowledge of labor laws and HR compliance regulations is a must.
