Our client is a diverse financial institution with licensed entities specializing in international securities brokerage, asset management, and external asset management services. In order to support the company's expansion and continuous improvement, our client is looking for a talented and dynamic professional to join them as Senior Executive, Front Office.

Responsibility:

  • Oversee front office operations: Ensuring seamless communication and a professional first point of contact for clients. Manage incoming calls with discretion, schedule appointments efficiently, and direct inquiries to the appropriate departments.
  • Supervise and enhance administrative processes: Data management, correspondence distribution, document handling, and meeting preparations to optimize operational efficiency.
  • Uphold a high standard of client experience: By welcoming guests with professionalism and ensuring a well-maintained, polished reception area that reflects the company's brand image.
  • Coordinate office logistics: Scheduling, meeting room management, and maintaining inventory of office and pantry supplies within budgetary guidelines.
  • Support executive functions: Assisting with calendar management, coordinating meetings, and facilitating internal communication between departments.
  • Identify opportunities for process improvements and contribute: Office administration strategies to enhance workflow and operational effectiveness.
  • Mentor and guide junior administrative staff, fostering a collaborative and high-performing office environment.
  • Take on additional responsibilities as delegated by management, with opportunities for career advancement into office administration, operations, or executive support roles.

Requirement:

  • Candidate must possess at least a Diploma, Advanced/Higher/Graduate Diploma, Bachelor's Degree in Business Studies/Management/Administration/Secretarial/Commerce or equivalent.
  • Excellent interpersonal skills.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Strong communication, organizational and planning skills.
