Assistant Vice President, Vendor and Contract Management

Responsible for overseeing the operations of the Bank's vendor relationships. This includes creating and implementing policies and procedures for managing vendor relationships, as well as maintaining records of these relationships. Additionally, the vendor management person may be responsible for conducting due diligence on potential vendors, negotiating contracts, and monitoring vendor performance. The process of establishing, managing, and overseeing relationships with suppliers includes ensuring that vendors provide goods and services on time, within budget, and meeting the quality and safety standards of the organization.

Vendor Management and Contract Management

  • Oversee the Bank's outsourcing arrangement, including reviewing the outsourcing checklist submitted and liaising with Group Risk Management and Group Compliance on the materiality of the proposed outsourcing management.
  • Annual review and update of the outsourcing register and perform gap analysis when necessary.
  • Develop and sustain long-standing relationships with company-approved vendors.
  • Meet with suitable vendors to assess their products, inquire about their services, negotiate pricing, and communicate any product or service-related concerns.
  • Conduct research on available vendors to determine which offer the best pricing and product quality.
  • Continue monitoring overall cost-saving initiatives.
  • Ensure vendor selection is in accordance with the Bank's policy.
  • Conduct interviews with new vendors and inform approved vendors of their responsibilities and obligations.
  • Establish standards by which to assess the performance of approved vendors.
  • Evaluate the current vendor management program and identify ways to improve it.

Outsourcing Management

  • Perform gap analysis on outsourcing arrangements.
  • Ensure all outsourcing arrangement approval processes follow Kenanga Investment Bank and BNM guidelines.
  • Review and update the service agreements of all outsourcing arrangements.
  • Review and check all outsourcing arrangements submitted.
  • Liaise with Group Risk Management and Group Compliance on outsourcing arrangements.
  • Perform annual reviews and gap analysis of all existing outsourcing arrangements.
  • Update the outsourcing plan and register as per BNM Policy and Guidelines.

Requirements:

  • Degree holder (or Diploma with minimum 5 years' experience may apply).
  • Excellent analytical, problem-solving, and organizational skills.
  • Knowledge of vendor management and outsourcing arrangements.
  • Effective written and verbal communication skills.
  • Ability to work independently and multi-task in a fast-paced team environment.
