Responsibilities
  1. Content Development:
    1. Research industry trends, emerging topics, and the target audience's needs to develop relevant and timely conference themes.
    2. Collaborate with internal teams and external stakeholders to define session topics, speaker panels, and workshops.
    3. Create event agendas and ensure content is aligned with business objectives and market trends.
  2. Speaker Management:
    1. Identify, recruit, and secure high-quality speakers, including industry leaders, experts, and thought leaders.
    2. Coordinate speaker logistics, including contracts, travel, and accommodations.
    3. Provide guidance and support to speakers regarding content, presentation style, and event requirements.
  3. Event Planning & Logistics:
    1. Coordinate all aspects of the event, including scheduling, venue selection, audio/visual setup, and catering.
    2. Work with event vendors, suppliers, and partners to ensure smooth logistics and the timely delivery of services.
    3. Ensure compliance with health, safety, and legal requirements during event planning and execution.
  4. Marketing & Promotion:
    1. Collaborate with the marketing team to promote the event through digital channels, social media, email campaigns, and partnerships.
    2. Help develop promotional materials, including brochures, event websites, and social media content.
    3. Assist in managing attendee registrations and promoting the event to a broad audience.
  5. Budget Management:
    1. Manage the conference budget, ensuring that costs are kept within allocated limits while maintaining the quality of the event.
    2. Negotiate contracts with venues, suppliers, and vendors to secure cost-effective services.
    3. Track expenses and generate financial reports for internal review.
  6. On-Site Coordination:
    1. Oversee the event on-site, ensuring all logistics run smoothly.
    2. Coordinate with vendors, staff, and volunteers to handle registrations, event setup, speaker coordination, and attendee needs.
    3. Troubleshoot and resolve any issues that arise during the event.
  7. Post-Event Evaluation:
    1. Gather feedback from attendees, speakers, and stakeholders to assess the success of the event.
    2. Analyze attendee engagement and satisfaction data to identify areas of improvement for future events.
    3. Prepare post-event reports and recommendations for continuous improvement.
Minimum Requirements
  1. Bachelor's degree in Event Management, Marketing, Business, or related field.
  2. 2-3 years of experience in event planning or conference production.
  3. Strong organizational skills and the ability to manage multiple projects simultaneously.
  4. Excellent communication and interpersonal skills, with the ability to engage and manage speakers, vendors, and attendees.
