Position: Personal Assistant (PA) to Managing Director
Reporting To: Managing Director (MD)
Location: Johor Bahru
Employment Type: Full Time
Job Summary:
The Personal Assistant (PA) to the Managing Director (MD) will provide high-level administrative and executive support to ensure smooth business operations across multiple companies. The PA will act as the primary point of contact between the MD and internal/external stakeholders, managing schedules, communication, and key business tasks efficiently.
Key Responsibilities:
- Administrative & Executive Support
• Manage and coordinate the MD's daily schedule, appointments, and travel arrangements.
• Prepare and organize meetings, including drafting agendas, taking minutes, and following up on action items.
• Handle confidential correspondence, reports, and documents on behalf of the MD.
• Maintain and organize business records, contracts, and important documents.
• Ensure timely completion of tasks and projects assigned by the MD. - Business & Operational Assistance
• Assist in overseeing multiple businesses, ensuring that key tasks and deadlines are met.
• Conduct research, prepare reports, and provide insights for business decisions.
• Coordinate with department heads and business managers to monitor business performance.
• Follow up on business negotiations, agreements, and project progress.
• Assist in the preparation of presentations, proposals, and other business materials. - Communication & Relationship Management
• Act as the point of contact between the MD and internal/external parties.
• Draft and respond to emails, letters, and other forms of communication on behalf of the MD.
• Handle calls, inquiries, and requests professionally.
• Maintain strong relationships with key stakeholders, partners, and vendors. - Personal Assistance
• Handle personal errands, appointments, and tasks as required.
• Ensure smooth coordination of personal and business commitments.
• Assist in managing personal financial matters, travel plans, and event planning. - Confidentiality & Professionalism
• Maintain strict confidentiality regarding company and personal matters.
• Uphold high professional standards in all communications and interactions.
Requirements:
• Minimum Diploma/Bachelor's degree in Business Administration, Management, or a related field is preferred.
• Minimum 3 years of experience in an executive or personal assistant role.
• Strong organizational and multitasking skills with attention to detail.
• Excellent verbal and written communication skills in Bahasa Malaysia, English & Chinese.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint) and business management tools.
• Ability to handle confidential information with discretion.
• Flexibility and adaptability to dynamic business environments.
• Strong problem-solving and decision-making skills.
• Ability to work under pressure and manage multiple priorities.
Salary & Compensation:
• Salary: basic RM3500-4500 subject to experience.
