Senior Human Resources Executive | Compensation & Benefits | Recruitment | Admin & Operations

Duties and Responsibilities:

  • To oversee the overall Property and Facilities Management of Commercial and Residential Buildings of the Company. Ensuring the smooth operation of building management and maintenance in accordance with the company's policies and procedures. To ensure that proper handover together with checklist of buildings are handed over by Project Department.
  • To address and resolve issues pertaining to all defects including both internal of each unit and for common areas with the Project Department. Ensure all rectification of defects is carried out within the agreed timeline. Regularly carried out the assessment of the common areas and ensure regular maintenance are carried out.
  • To ensure that all Standard Operating Procedures are adhered to strictly pertaining to each building in accordance with the Building Act. Work closely with the Technical team by providing regular feedback for improvement purposes.
  • To manage the appointment of third-party services such as cleaning, pest control and others are carried out in accordance with the internal SOP. To hold regular meetings with Project Department and appointed Contractors so as to resolve any defects and other issues raised by owners are attended to promptly.
  • To attend to complaints from owners/building occupiers. To ensure that owners of buildings are updated regularly on defects issues and to send out Notice of Completion of defects to owners.
  • To supervise and manage Customer Service and Facilities Management staff in relation to Common Areas Maintenance and Facilities Maintenance. Supervising multi-disciplinary teams of staff including cleaning, maintenance, landscape and security.
  • To develop and prepare annual operating budgets for approval by Management. Ensure that all financial records on building operations and to ensure that the day-to-day maintenance expenses are closely monitored.
  • To ensure compliance to company's policies and SOP at all time in executing the customer service and property management tasks.
  • Fostering strong relationship with local authorities.
  • To ensure that all safety, including all fire safety equipment and systems, sanitation, energy management, preventive maintenance and other standards are met and to quickly resolve any emergency maintenance issues.
  • To ensure that all maintenance works carried out are in accordance with budget provisions and proper Management approvals are obtained prior to carrying out repair and maintenance works by Contractors.
  • Any other ad-hoc legal matters assigned by immediate superior or the Management.

Requirements

  • Bachelor's Degree in Business Studies / Property Management / Building Management or equivalent
  • Working knowledge of the Strata and Building and Common Property Acts and working knowledge on the formation of MC, JMB and RA
  • Working experience in the customer service field preferably in Property Development/ Property Management industry with 3 years in managerial positions and experience
  • Working experience in property management companies and experience in managing commercial and/or residential companies will be required.
