Responsible to manage lease administration and agreement of the Bank and prepare instruction for monthly rental payment via GEPS system - Contract Management and Payment Module.
- Responsible to provide real estate advisory and services to Business Units (“BUs”) in order to source and acquire premises in order to fulfill the real estate requirements of the Bank.
- Responsible to manage the lease administration and agreement in accordance to the guided Department’s Policies & Procedures and all related compliances.
- Responsible to manage Bank owned properties i.e. to update the property value from time to time, as and when required, to evaluate the usage of the property and propose for disposal of vacant or underutilized property.

**Responsibilities**:
Leasing and Transaction Services Officer
- To conduct due diligence on existing landlord/potential landlord/new landlord and register the landlord’s information into the system and update changes as and when required.
- To manage the day-to-day tenancy matters and prepare the documentation for all tenancy renewals, termination and new acquisition for the particular state under coverage.
- To monitor on contract expiry and to submit contract renewal notification to the respective BUs for action.
- To conduct survey/search on property market from time to time and collate data for negotiation on new acquisition or tenancy renewal.
- To conduct negotiation with landlord for the most favourable tenancy terms and conditions in the best interest of the bank.
- To review the terms and conditions of the tenancy agreement and work with Group Legal on finalization of tenancy agreement which is not a bank standard template.
- To perfect and stamp the tenancy agreement as main source document for reference and easy retrieval at all times.
- To ensure all required tenancy document and DA approvals are duly received and submitted to GEPS Contract Administrator to upload into the system or updating the contract in the system.
- To submit relevant documents to GEPS Contract Administrator for trigger transaction as per the executed tenancy agreement provided and monitor on the deliverables status.
- To prepare yearly budget on rental expenses on behalf of BUs.
- To produce reports for Management review such as monthly tenancy status, deliverables/task action status and total tenancies list.
- To ensure all terms and conditions in Tenancy Agreements are duly complied.
- To update the details of the Bank owned properties from time to time and to ensure the safekeeping of the legal document of the properties.
- To appoint valuer to conduct property valuation exercise on Bank owned property as and when required.
- To submit proposal to dispose vacant or underutilized Bank owned property and prepare relevant paper to obtain Board of Director’s approval for the proposal.
- To work with Marketing Agency or Property Agency to advertise the disposal of the property either via tender exercise or private treaty.
- To work with Bank’s panel lawyer to perfect the Sale and Purchase Agreement, collection of payment, perfection of Memorandum of Transfer until the handover of the property to the purchaser.
- To achieve the SLAs on scope of delivery/turnaround time for each transaction.
- To ensure all the tasks performed are comply to the Group Policies and Procedures.

**Job Requirements**
- Bachelor's Degree or Professional Qualification in the relevant discipline (Real Estate, Property Management, Law, Engineering, Quantity Surveying, Architecture)
- Registered with Board of Valuers, Appraisers and Estate Agents Malaysia
- Min 5 years of experience of relevant property background in established bank / financial institutions or public listed entity
- Posses knowledge of universal banking, including the rules and regulations in the domestic and international landscapes
- Posses knowledge of lease administration and agreement
- Posses knowledge of building services and fit-out knowledge
- Posses commercial experience and acumen in negotiation
- Good presentation and communication skills, able to put forward proposals
- Good reputation and network in the Real Estate and Fit-Out industry
- Has advanced computer skills and an eye for detail
- Ability to prioritise and meet deadlines
- Good team player
