Job Description: Operations Administrator
Position Overview:
Key Responsibilities:
1. Coordinate and oversee day-to-day administrative activities, including but not limited to scheduling appointments, managing calendars, and organizing meetings and events.
2. Serve as the primary point of contact for internal and external stakeholders, handling inquiries, correspondence, and requests in a professional and timely manner.
3. Maintain and update organizational databases, filing systems, and documentation to ensure accuracy and accessibility of information.
4. Assist in the preparation of reports, presentations, and other materials for management and team members, adhering to established formatting and quality standards.
5. Manage office supplies inventory, ordering replenishments as needed and ensuring proper allocation and utilization of resources.
6. Support human resources functions, such as onboarding new employees, maintaining personnel records, and coordinating employee training and development activities.
7. Collaborate with cross-functional teams to streamline processes, improve efficiency, and implement best practices in administrative operations.
8. Coordinate travel arrangements and accommodations for staff members, including booking flights, hotels, and transportation as required.
9. Monitor office equipment and facilities, liaising with vendors and service providers to address maintenance and repair needs promptly.
10. Assist in special projects and initiatives as assigned by management, contributing to the overall success and growth of the organization.
Qualifications:
- Bachelor’s degree in Business Administration, Operations Management, or related field preferred.
- Proven experience in administrative or operations support roles, preferably in a corporate or office environment.
- Proficiency in office productivity software such as Microsoft Office (Word, Excel, PowerPoint, Outlook) and experience with database management systems.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.
- Excellent communication skills, both written and verbal, with a customer service-oriented approach.
- Ability to maintain confidentiality and handle sensitive information with discretion and professionalism.
- Flexibility and adaptability to changing priorities and requirements.
- Team player with a positive attitude and willingness to collaborate with colleagues at all levels.
- Detail-oriented mindset with a focus on accuracy and quality in all aspects of work.
