Operations Clerk supports the logistics team by handling clerical and administrative tasks to ensure smooth and efficient transportation operations. This role involves coordinating with drivers, managing schedules, tracking shipments, and maintaining accurate records.
Key Responsibilities:
- **Scheduling and Dispatch**:
- Schedule deliveries and dispatch trucks to optimize route efficiency.
- Communicate effectively with drivers to convey scheduling changes, route details, and customer requests.
- **Documentation and Record Keeping**:
- Prepare, manage, and file transportation paperwork, including consignment notes, delivery schedules, and driver logs.
- Maintain accurate records of all transportation activities, ensuring compliance with company policies and regulatory requirements.
- **Tracking and Reporting**:
- Monitor the status of shipments and provide updates to internal teams and customers.
- Generate regular reports on fleet operations, including mileage, fuel consumption, and delivery timelines.
- **Customer Service**:
- Serve as a point of contact for customer inquiries and issues related to logistics.
- Resolve any logístical problems that arise, ensuring customer satisfaction.
- **Inventory Management**:
- Assist in managing warehouse inventory levels to ensure that the correct items are available for shipment.
- Coordinate with warehouse staff to ensure that goods are properly loaded and secured for transport.
- **Compliance and Safety**:
- Ensure that all transportation activities comply with legal and safety standards.
- Keep abreast of changes in transportation regulations and inform the team of necessary adjustments in processes or documentation.
Required Skills and Qualifications:
- High school diploma or equivalent; further education or certification in logistics is a plus.
- Proven experience in logistics or transportation.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in logistics software or transport management systems.
- Ability to work under pressure and adapt to dynamic environments.
