**Position**: DFA Associate (Legal Administration)

**Department**: Operations

**Location**: Remote with 4 Days /Week in the Office* - Starting April 2024
*KL Office: Lorong Tanjong, Bukit Gasing, 46000 Petaling Jaya, Selangor

**Employment**: Contractual (1-Month Probation + 5-Month Contract)

**Duration**: Full-Time, 5 Days /Week, from 9AM-6PM, for 6 Months

**Requirements**:

- Bachelor's degree in law, legal studies, business administration, or a related field is not necessary, but desired
- Past experience in legal administration, secretariat duties, or related roles within student groups or organisations is required
- Ability to work remotely and in the field, demonstrating adaptability to different working environments
- Effective communication skills, both verbal and written, for interacting with internal stakeholders, external partners, and donors
- Ability to prioritise tasks, manage multiple projects simultaneously, and meet deadlines
- Strong interpersonal skills for collaborating with cross-functional teams and building relationships
- Strategic thinking and ability to contribute to organisational-planning and decision-making
- Strong administrative skills with an emphasis on legal and secretariat tasks, including documentation, compliance, and record-keeping
- Familiarity with Google Workspace, particularly Google Docs and Google Sheets, for collaboration and document management
- Fluent in both English and Malay, with the ability to communicate effectively in both languages

**Responsibilities (Internal Operations)**:

- Legal Compliance and Documentation:

- Ensure legal compliance with requirements relevant to the DnG's operations
- Prepare and maintain legal documentation (contracts, agreements, policies)
- Assist in conducting internal audits to ensure legal adherence
- Record Keeping and Documentation Management:

- Maintain up-to-date records of legal documents and correspondence
- Organise and manage DnG's legal documentation system
- Assist in the preparation of legal reports for internal stakeholders
- Board and Committee Support:

- Provide administrative support for board meetings
- Assist in the preparation of materials for board meetings and presentations
- Facilitate communication between the board of directors and senior staff
- Administrative Support:

- Provide administrative assistance to the Operations Department
- Assist in organising departmental events or initiatives, ensuring compliance with legal requirements

**Responsibilities (Project Roles)**:

- Project Legal Support:

- Assist in managing legal aspects of projects
- Ensure that project activities comply with legal and regulatory requirements
- Support project teams in addressing legal issues and mitigating risks
- Grant Management Assistance:

- Support the preparation of grant proposals and reports
- Assist in monitoring grant funds and compliance obligations
- Coordinate with project teams to ensure that legal aspects are fulfilled
- Cross-functional Collaboration:

- Provide legal support to projects and teams
- Ensure alignment between legal and financial aspects of projects
- Provide legal guidance and support to project teams as needed

**Compensation**:

- 1-Month Probation: RM500
- 5-Month Contract: RM1,500 /Month + RM200 /Month Travel Allowances

**Grow With Us**: After completing their 6-months, successful applicants will have the option to extend their employment.
