**Job Brief : Admin Executive**

**Documentation and Record-keeping**: Maintain accurate records of parking-related data, transactions, reports, and other administrative documents.

**Customer Service**: Address inquiries, feedback, and complaints from users or clients regarding parking services. Coordinate with relevant departments to resolve issues promptly and efficiently.

**Billing and Financial Administration**: Handle parking fee collections, invoicing, and financial records. Ensure accuracy in financial transactions and maintain proper accounting practices.

**Scheduling and Coordination**: Organize schedules for parking attendants, technicians, or other staff members involved in the management of the parking facility. Coordinate shifts, meetings, and events related to parking operations.

**Inventory and Procurement**: Manage inventory levels of parking equipment, supplies, and materials. Coordinate procurement processes for necessary items and maintain relationships with suppliers.

**Reporting**: Generate regular reports on parking facility utilization, revenue, expenses, and other relevant metrics. Analyze data to provide insights and recommendations for improvements.

**Compliance and Regulations**: Ensure compliance with local regulations, safety standards, and company policies related to parking operations. Stay updated on changes in regulations and implement necessary adjustments.

**Training and Support**: Assist in training new staff members on administrative procedures, customer service protocols, or software/system usage related to parking management.

**Communication**: Maintain effective communication with various stakeholders, including clients, vendors, internal departments, and management, to ensure seamless operations and address any concerns or issues.

**Process Improvement**: Identify areas for efficiency improvement in administrative processes within the car park management system and propose and implement solutions where necessary.

- . Resolve guests complaints, guide and provide relevant information to them._

- Schedule appointment for Car Park Manager with special project and ad-hoc reports as required including public relations, marketing and liaison with other department or local authorities._
- Takes minutes of the Car Park meeting and handling confidential matters with utmost discretion_
- Prepare memos and official letter for internal or external departments or companies._
- Monitor and assist to update the daily Car Park collection, revenue, expenses, season parking to submit for monthly management reports._
- Organized and prepared duty roster for all levels of staff-ranging from manager to to attendant._
- Created highly effective organizational and filing system, which include the quick and through indexing, filing, resulting in easy access to critical information and streamlined office functioning._
- Re-checking the incident report and maintenance work order after operation side checking and passing the documents for Car Park Manager perusal and signature._
- Compiling all relevant and urgent documents that need manager attention and signature before proceed for further action._
- Arrange all document (which already sign by manager) in individual department folder for submission to the relevant department (HQ)._
- Check the follow up folder for any pending matter that needs further attention._
- Checking invoices for copier machine, telephone/fax machine bills, and any claim from staff before submit to finance department._

**Salary**: RM1,800.00 - RM3,000.00 per month
