Complete a board variety of administrative tasks for the GMD including managing an extremely active calendar of appointments, plans, coordinate and ensure the GMD’s schedule is followed and respected; acts in a “gatekeeper” capacity, creating win-win solutions for direct access to the GMD’s time and office;
- Schedule on behalf of the GMD meetings between him and his direct reports and the committees and groups to which he is a member.
- Keep and maintain an accurate record of papers and e-correspondence on behalf of the GMD;
- Set up meeting files, scheduling and calendaring meetings, set meeting agendas, setting location, time and appropriate duration, identifying, inviting and confirming participants, facility arrangements where required;
- Compose and prepare correspondences, reports, memorandums, agendas and minutes of meetings.
- Escort guests to the Premium Lounge;
- Ensure guests meeting with GMD are well taken care of;
- Monitor close acquaintances list - send gifts/hampers during any celebrations or birthdays;
- Liaise with GMD’s driver regarding GMD shell fleet card and TNG card;
- In charge of GMD’s personal inventory list;
- Update of SSQ & SAVE Strata Titles;
- Keep track on GMD personal licenses and insurance;
- Keep track of all Memberships’ expiry date and renew them accordingly;
- In charge of the Premium Lounge and ensure it’s well kept at all times;
- Hold petty cash and cash vouchers;
- Return all signed documents by GMD to relevant departments accordingly;
- Collect business cards;
- To ensue GMD’s office is well maintained and fully equipped with all necessities such as stationery, printing papers and etc;
- To work together with Assistant Manager, Admin & Operation on an ad hoc basis as and when required, regarding tasks that overlap like credit card claims.
- Provide a service that in line with the GMD’s work habits and preferences;
- Ensure the GMD’s travel arrangements are managed effectively;
- Coordinate travel and accommodation requirements in connection with others and ensure arrangements in place for the GMD match requirements;
- Filter general information, queries, phone calls and invitations to the GMD by directing or taking forward such contacts as appropriate;
- Provide a bridge for clear communication and maintain credibility, trust and support between the office of the GMD and staff;
- Work closely and effectively with the GMD to keep him well informed of upcoming commitments and responsibilities, and follow up appropriately;
- Manage the GMD’s office ensuring the proper documentation and record keeping on behalf of the GMD;
- Required to perform ad-hoc tasks as and when required by the GMD

**Requirements**:
**Salary**: RM3,500.00 - RM4,500.00 per month
