Logistic Officer

**Key Responsibilities**

Maintain an acute awareness of the business context; including customer intent, competitive pressures, and internal variables (branding objectives, stock position, pricing, deliveries, site performance, etc.).

To manage the daily operations of the office including organizing mail, couriers, catering and travel. Staff need to be able to use MS EXCEL confidently, to arrange global travel and to work on their own.

Work standard: at the end of each working week, all catering events for the following week must be finalized.

**Planning**
- Plan and execute all incoming and outgoing shipment to ensure the timeline is meet according to the date require or plan.
- Design and develop standard operating methods to manage logistics operation efficiently and cost effective.

**Organizing**
- Maintain good relationship with internal and external customer to ensure operation go smooth and meet targeted time frame.

**Leading**
- To lead and control daily logistics’ operation and fully responsible on logistics management. Administration to ensure smooth operation of NSW's business.

**Staffing**
- To communicate with all requestors (sales, purchasing, finance, warehouse, production & management) and related department who are engaging service of logistic department.

**Controlling**
- Compare and selection on the most reasonable appointed Forwarding Agent. (Which has approved by customer’s list)
- Actively engage with freight forwarding agencies, freight handling/clearance agents, and local Customs, to ensure that cargo is managed at all points of the supply chain, and that all tracking and reporting deadlines are met.
- Able to prepare custom require monthly report and submission on time.

**General Responsibilities**
- To ensure the confidentiality and security of all the NSW's documentation and information.
- To attend training/refresher courses and meetings as required by the superior/department/NSW Standards and Policies
- **Shipping**:

- Export shipment
- Shipment request (SR)
- Provide from Sales Dept
- prepare the Delivery Order - generate from SAP
- Generate the AWB - Airway bill - FedEx / GdEx / DHL System
- Export declaration - K2 & K9 (GBP)
- Export Sales/ Demo / Sample / Replacement
- Prepare shipment/Packing for Warranty Parts / Sample / Replacement.
- Prepare the Delivery Order & Packing List, and Invoice.
- Generate the AWB from Courier services
- Arrange the shipment with courier services
- Transportation (Air/Sea/Road)

- Verify the billing from forwarder, agent -find the project code and acknowledge the charges as we provide the account to pick up shipment.
- Chase the acknowledge document from agent (customs form & HAWB)
- Request the acknowledge Delivery order from recipient
- Scan shipping documents and send it to finance department and customers

- Arrange import shipment from bonded warehouse

- K9 Customer without license of local trading company. Example Vimatic Sdn Bhd.
- Once agree with tax and duty price. Vimatic will do payment to forwarder.
- After done all payment will create consignment note and pickup with GDEX to send items to Vimatic Sdn. Bhd.
