Roles & Responsibilities
Duties and responsibilities include providing administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material.
**Responsibilities**:
Answer and direct phone calls
Organize and schedule meetings and appointments
Maintain contact lists
Produce and distribute correspondence memos, letters and forms
Assist in the preparation of regularly scheduled reports
Prepare, submit and reconcile expense claims
Provide general support to visitors
Ensure smooth operation of office equipment by completing preventive maintenance requirements; calling for repairs; evaluating new equipment and techniques
Maintain office stationery supplies and office consumables inventory by checking stock to determine inventory levels; anticipating needed
supplies; placing and expediting orders for supplies; verifying receipt of supplies
Carry out administrative duties such as coordinating with local company secretaries to ensure all corporate statutory documents are filed timely and including filing, typing, copying, binding, scanning of documents
Must also be able to liaise with company secretaries of offshore companies and ensure the timely submission of statutory documents required.
Maintain computer and manual filing systems
Handle sensitive information in a confidential manner
Take accurate minutes of meetings
Coordinate office procedures, updating of SOPs
Develop and update administrative systems to make them more efficient
Resolve administrative problems
Receive, sort and distribute mail
Photocopy and print out documents on behalf of other colleagues
**Requirements**:
Open to Malaysians and foreigners
Good command of English and Mandarin
Proven admin or assistant experience
Knowledge of office management systems and procedures
Excellent time management skills and ability to multi-task and prioritize work
Able to start work immediately
**Job Types**: Full-time, Contract
Contract length: 12 months
**Salary**: From RM2,500.00 per month
