Job Title**:Administrative Assistant**

**Responsibilities**:
**General Administrative Tasks**:

- Provide general administrative support to the Finance and Purchasing Department.
- Maintain organized and up-to-date filing systems.
- Assist in managing financial documents, including invoices, receipts, and expense reports.
- Maintain accurate records of inventory and assist in inventory management.
- Perform general clerical tasks, such as filing, scanning, and data entry.
- Adhere to company policies and procedures, ensuring compliance with relevant regulations.
- Assist with other ad hoc tasks as assigned.

**Accounts Payable and Receivable**:

- Process invoices, expense reports, and vendor payments promptly and accurately.
- Reconcile accounts payable transactions.
- Follow up on outstanding payments and resolve discrepancies.
- Assist in preparing and sending customer invoices.
- Record and maintain accurate records of accounts receivable transactions.

**Purchasing Support**:

- Assist in maintaining proper inventory levels by monitoring stock levels and reordering supplies as needed.
- Coordinate with suppliers to obtain quotes, place orders, and ensure timely delivery of goods.
- Verify received orders against invoices and resolve any discrepancies.
- Keep accurate records of purchases and expenses.

**Qualifications**:

- High school diploma or equivalent; Bachelor's degree preferred.
- Previous experience in an administrative role is a plus, fresh graduates are welcome to apply.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Effective communication skills, both verbal and written.
- Ability to work independently as well as part of a team.
- Familiarity with inventory management software is a plus.
- Knowledge of basic accounting principles is desirable.
