Job Description- Travel Arrangements: Ensure smooth travel arrangements for incoming visitors, including flight booking, accommodation, and ground arrangements.
- Renewal of Company Contracts/Agreements: Renew contracts before expiration dates, ensuring timely completion.
- Utilities Management: Liaise with government agencies and utility service providers to obtain and verify monthly invoices.
- Vendor Management: Coordinate with building management, parking attendance, courier companies, contractors, and food caterers for office maintenance and administrative requirements.
- Employee Asset Management: Maintain the Asset List for all employees in Malaysia to ensure accurate registration and provision of company assets.
- Health and Safety Insurance Scheme: Support employees with queries regarding business travel insurance and maintain records of hospitalization and surgical expenses.
- HR and Admin Expenses Report: Update and maintain a monthly record of local employee expenses, including petrol card usage, toll card reloads, mobile phone call expenses, mileage, and provide quarterly reports to HODs.
- Leave Management and HR Records: Keep data in order, maintain proper record keeping/filing of documents, prepare yearly leave files, and update APAC public holidays list.
- Office Administration and Supplies: Purchase and manage stocks for office beverages and stationaries.
- Safety Matters: Report monthly accidents at EHS Management App, lead bi-monthly SafeStart Refresh & Safety Talk, and update EHS Site Excellence Tool details.
- HR Projects: Assist in rolling out HR projects launched from Etex Group and engage teammates in activities.
