Order Management Specialist

We are seeking a highly skilled Order Management Specialist to oversee and bring expertise to our team.
Rolls-Royce Power Systems is headquartered in southern Germany and employs around 9,000 people. Our product portfolio includes mtu-brand high-speed engines and propulsion systems for ships, power generation, heavy land, rail and defence vehicles and for the oil and gas industry as well as diesel and gas systems and battery containers for mission critical, standby and continuous power, combined generation of heat and power, and microgrids.

Key Responsibilities:
- Manage orders with internal departments, factories, suppliers and contractors till contract fulfilment, supporting back end non-technical work requirements.
- Create shared folder order files in L drive once Sales has handed over new sales orders complete with Statements of Fact.
- Execute orders in line with contractual agreements, adhering to scope of deliveries, delivery dates and costs.
- Liaise with finance for issuance of downpayments/stage payments, Bank Guarantees/Performance Guarantees depends on contract agreed payment terms.
- Create batch numbers, engine/genset serial numbers in SAP to facilitate goods receipt GR for engines coming into Singapore/Malaysia warehouse and liaise with warehouse for physical goods receipt.
- Support coordination on goods movements and perform Goods Receipt GR of 3rd party PO upon goods delivered.
- Chase secured payments prior to delivery (TT, LC, etc); Sales to assist where requested in case of delay from customer.
- Chase and issue shipping instructions.
- Liaise with customer on shipment.
- Liaise with factory or vendor for dispatch/shipment of parts, goods or equipment to packager or vendor factory.
- Coordinate with transportation providers to ensure prompt and proper movement of shipments.
- Draft, fill, prepare and ensure that all shipment/delivery documentation such as packing lists, Bills of Lading, commercial invoices, custom clearance forms (K1) or any document for smooth custom clearance process.
- Review purchase orders and shipping documents to ensure accuracy.
- Verify delivery notes that all accessories are in order.
- Verify all invoices from factories, vendors and forwarders.
- Liaise with forwarder on shipment/vessel booking/Bill of Lading.
- Sort accessories and follow up with factories on any discrepancies.
- Liaise with application/sales engineering for any specific technical protocols/certificates (if called for in LC according to contractual terms).
- Supervise and ensure dispatch on schedule.
- Generate packing lists in SAP (for local delivery).
- Process commercial conditions and incoterms and follow up on LC amendments including ensuring all documents as required by LC.
- Prepare/compile LC documentation and provide to Finance for LC submission.
- Manage, process and document post-delivery claims for short-shipped/missing parts with customer.
- Manage registration of government bodies or agencies such as CIDB, SSM, Suruhanjaya Tenaga, Sirim, Dagang Net, Immigration office or any company license as required.
- Manage company level documentation, server folders and ensure compliance with statutory and regulatory requirements.
- Assist in management of office operations including ordering supplies, IT equipment, furniture and managing vendors for admin services, ensuring all spending is within budget.
- Special assignments from time to time.
Requirements:
- Bachelor's degree in Business Administration or equivalent.
- Experience in order execution of engineered solution business, min. 1 year.
- Experience in diesel engine/generator industry or backup power in data center would be an added advantage.
- Good team player with excellent written and verbal communication skills.
- Understand Asian cultural differences and business practices and can resolve conflicts effectively.
- Able to manage high stress situations and be accountable for order management topics.
- Able to multi-task and manage topics simultaneously; an extremely resourceful person.
- Always up to date with project progress.
- Willingness to travel.
- Proficient in English and Malay language both written and spoken.
- Proficient in SAP, Word, Excel, PowerPoint.
- Detail oriented and adhere to professionalism.
