Job Description Summary
Support ANZ Life Science Service Contract.
**Job Description**:
Service Contracts
- Ensure updated and accurate data is in ServiceMax and SAP e.g. new instrument inclusions, delete retired instruments, coverage change, lasers included and excluded
- Create service contracts in CRM/ECC
- Create Preventative Maintenance Plan and Schedule in ServiceMax
- Service contract reporting
- Service contract renewal - Prepare service contract and send to Sales Team to have the discussion with customer for renewal.
Instrument Movements
- Participate in Instrustment Movement Meeting (IMM)
- Entry of product numbers into SAP to generate a sales order for DHL to pick and pack
- Send Decontamination Certificate to Sales Team for them to have customer complete
- Attach Decontamination Certificate to WO in ServiceMax once returned from Sales Team
- Create warranty contracts in CRM/ECC
- Create new instrument document file and save relevant documents in ServiceMax and T Drive.
Instrument Invoicing
- Check with Finance that the customer account is set-up in SAP
- Generate invoices once PO is received
- Create billing cycle in SAP.
Charged Service
- If there are any adjustments after the engineer completes the job, this role will need to send out an updated quote to the customer directly
- Once a PO is received organise billable service order in CRM/ECC. When completed send invoice from CRM/ECC
- Attach signed WO to ServiceMax when all complete.
Audits
- Responsible for providing information to External Auditors and ISO Auditors each year Audits are conducted.
Other
- End of month invoice and contract summary report (Excel) - needs to be sent to Finance, BU Director, Business Manager, BDB and Service Managers
- General relevant administration and document management
- Provide additional information and assistance
- Assist with ONCA verification where needed
- Generate ad-hoc service reports from ECC as required.
Knowledge and Experience:
- Diploma or degree in any discipine.
- Fluent in English (verbal, reading and writing).
- SAP and Salesforce knowledge are added advantage.
- Proficient in MS Excel.
- Previous administration experience
- Contract management experience would be ideal.
- Strong analytical skills.
- Able to build and develop strong relationships with people at all levels.
