Duty Manager

The Duty Manager is responsible for overseeing the daily operations of the building and operational departments. They ensure that the operations runs smoothly, that staff are effectively managed, and that tenant and visitor needs are met.
The Duty Manager is in charge during the scheduled shirts or on weekends and holidays when senior management is not present. The act as a point of contact for employees and tenant and visitors and handle any issues or emergencies that may arise.

1. Customer Service:
- Welcome and assist both internal and external customers, addressing their inquiries and concerns.
- Monitor and analyze customer feedback to identify recurring issues and areas for improvement.
2. Property Atmosphere:
- Ensure a pleasant and inviting Commercial building atmosphere for visitors.
3.Emergency Response:
- Act as the point of contact in case of emergencies, such as accidents, medical incidents, or security breaches.
- Follow established emergency procedures and coordinate the response.
- Is fully conversant with the Crisis Management Plan and ready to enact.

- Ensure 24/7 operation hours for the Action Centre.
- Handle inbound calls to the building, serving as the initial contact point for guest.
- Maintain strict confidentiality with inquiries, especially concerning personal data protection, maintain strict confidentiality with inquiries, especially concerning personal data protection, in-house tenants, high-profile VIPs, celebrities and competitors’ confidential information.
6. Problem Solving:
- Address and resolve issues that may arise during a shift, including complaints, employee conflicts and operational challenges.
- Make quick and effective decisions to maintain smooth operation.
7. Compliance:
- Ensure that all departments or facility complies with all SOPs, relevant laws, regulations and company policies.
- Conduct inspections and audits to identify and rectify any non-compliance issues to ensure outcomes are to established standards.

- Furnish a logbook to HBO, containing information on the shift briefing, detailing what transpired and actions that were taken including any incidents.
- Supervising overseeing department after off hours and working together with department to resolve any issued raise by guest and tenants’
- Involved taking actions on behalf at the management.
**Requirements: -**
1. Able to work in 3 rotating shift, 24x7, based on a roster.
2. Must be willing to work on weekends and public holidays.
3. May be required to work overtime based on scheduled and emergency call-off support shifts or any “Just In Case” situations.
4. A Duty Manager’s role is integral to maintaining the overall operation and safety of the property, and it requires a high level of responsibility and dedication to customer service and safety standards.
**Qualifications**: Diploma-level qualification is preferred.
**Experience**: At least 5-7 years of experience in a similar capacity, preferably in a retail or property management role.
**Required Skills**:
- Technical knowledge:_
Should have an understanding of the technical aspects of the building, including knowledge of building encompassing experience in facility management, housekeeping operation, car park operations and front office.
- Communication Skills:_
Effective communication is crucial. Experienced in the communications with staff, tenant, contractors, and other stakeholders. Clear and concise communication.
- Adaptability: _Capable to adapt and respond to unexpected issues that may arise. Being adaptable and open to change is essential for handling unforeseen challenges.
- Conflict Resolution Skills:_
To mediate conflicts among staff or between tenants and management when incidents occur on shift.
- Risk Management:_
Identifying and mitigating risks. This includes assessing potential hazards and implementing strategies to reduce risks.
