**Front Desk Management & Office Maintenance**:
a. Greet visitors, clients, and employees in a professional and friendly manner.
b. Ensure the reception area and common spaces are clean and organized.
c. Direct visitors to the appropriate person or department.
d. Ensure compliance with security protocols, such as signing in visitors and verifying identification.
e. Handle inquiries and provide basic information about the organization.
- **Communication Handling**:
a. Answer, screen, and forward incoming phone calls courteously.
c. Maintain a log of calls, messages, and inquiries.
- **Appointment Scheduling**:
a. Schedule and confirm appointments, meetings, and conference room bookings.
b. Coordinate with staff to ensure availability and avoid scheduling conflicts.
c. Send reminders for upcoming appointments or meetings.
- **Mail and Package Handling**:
a. Receive, sort, and distribute incoming mail and packages.
b. Prepare outgoing mail, including courier services and postage.
c. Track and log incoming and outgoing deliveries.
- **Administrative Support**:
a. Perform general clerical tasks such as photocopying, scanning, filing documents, data entry, and record-keeping.
b. Prepare and distribute correspondence, memos, and forms.
c. Maintain and update contact lists, directories, and databases.
d. Assist in checking assets, pool cars, GPS, road tax, and insurance, if needed.
e. Monitor and replenish office supplies, such as stationery, cleaning materials, hygiene products, and refreshments.
f. Report maintenance issues or equipment malfunctions to the appropriate party.
- **Event Coordination**:
a. Assist with the coordination of office events, meetings, or conferences.
b. Provide logístical support, such as preparing materials or arranging catering.
- **Scope of Work**:
The above tasks are not limited to HLM Machinery Sdn. Bhd. but also include responsibilities for other subsidiary companies.
- **Compliance**:
a. Follow orders and instructions given by superiors.
b. Adhere to company policies and safety regulations.
- **Other Duties**:
Perform other tasks assigned by the superior from time to time.
**Requirements**:
- Minimum qualification: SPM
- Proficient in Mathematics and English
- At least 1 year of related experience
