The primary objective of the Sales Admin role is to support the sales team by managing administrative tasks, ensuring efficient operations, and enhancing the overall productivity of the sales department. This role involves coordinating sales activities, managing documentation, and providing customer service support.

Duties and Responsibilities:

- Processing sales orders accurately and efficiently.
- Providing assistance and addressing any issues or concerns related to sales orders, sales launches, deliveries, or customer inquiries.
- Entering sales data into databases or software systems.
- Maintaining sales records, contracts, and other relevant documents.
- Assisting the sales team with administrative tasks such as preparing sales reports, presentations, and proposals.
- Liaising between different departments, such as sales, marketing, contractors and clerks of work to ensure smooth operations.
- Generating sales reports and analysing data to identify trends, opportunities, and challenges.
- Providing general administrative support to the sales department, such as scheduling meetings, managing calendars, and coordinating travel arrangements.
- Ensure correct procedures and timely processing of documents for Sale and Purchase Agreements, Loan Documentation, and related matters.
- Control and monitor sales procedures and support documentations.
- Monitor documentation and collection of progressive billings to maintain healthy cash flow and follow up with relevant parties for the collection of sales proceeds.
- Prepare accurate billings based on architect certificates and send them to purchasers.
- Liaise with solicitors, purchasers, and end-financiers, handling correspondences on Sale and Purchase/Loan documentations, credit control, billing, and collections.
- Attend promptly to all correspondence from purchasers and solicitors, ensuring timely collection of payments.
- Manage credit control from Sale and Purchase Agreement (SPA) to key handover, including customer interactions, liaison with solicitors and bankers, and issuing Receipts, Credit Notes, Debit Notes, Payment Vouchers, and Progress Billings.
- Take responsibility for key handover, address customer complaints, and follow up with contractors and clerks of work regarding property conditions and defects.

Requirements / Qualifications:

- Diploma or equivalent; Bachelor's degree in business administration or related field preferred.
- Minimum of 2 years of experience in a sales support or administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and CRM/Developer systems.
- Strong organizational, multitasking, and problem-solving skills.
- Excellent verbal and written communication skills.
- Ability to work effectively both independently and as part of a team.
- Adaptability to changing priorities and deadlines.
- Customer-centric mindset with a dedication to providing exceptional service.

Pay: RM3,000.00 - RM5,000.00 per month
