**Job Summary**
The Dormitory Admin is responsible for managing the daily administrative and operational activities of the dormitory, including resident registration, documentation control, occupancy monitoring, and ensuring the dormitory environment is clean, safe, and compliant with company policies and government requirements.
**Key Responsibilities**
**1. Resident Administration**
- Handle **check-in and check-out** processes for residents.
- Maintain **resident lists and occupancy records** in system/Excel.
- Ensure all resident **documents** (passport, permit, personal details) are properly recorded and stored.
- Assign **rooms and beds** according to capacity and allocation rules.
- Manage distribution and record of **Access Cards / Dorm Passes**.
**2. Documentation & Record Management**
- Keep track of **passport and work permit expiry** dates and provide renewal reminders.
- Prepare **daily/weekly occupancy reports** for management review.
- Manage **dormitory inventory** such as bedding items, keys, and room equipment.
**3. Communication & Coordination**
- Act as the **main communication point** between residents and management.
- Liaise with **foreign worker agencies**, wardens, and company supervisors.
- Handle **resident feedback and complaints** and follow up on necessary actions.
- Issue **announcements, notices, or memos** whenever required.
**4. Cleanliness & Safety Monitoring**
- Ensure the dormitory is **clean, organized, and safe** at all times.
- Assist wardens in conducting **routine inspections** on cleanliness and discipline.
- Monitor the condition of **common facilities** (laundry, kitchen, toilets).
- Report and follow up on **damages or maintenance issues** until resolved.
**5. Other Duties**
- Assist during **dormitory audits** by authorities or management.
- Perform other tasks as assigned by the management from time to time.
