We are seeking to fill the position of Procurement Associate G6 (Hub), based in the UNHRD Malaysia.

ORGANIZATIONAL CONTEXT
Global hunger has reached alarming levels in 2022, and WFP, the Nobel Peace Prize winner in 2020, remains dedicated and committed to address this global food crisis. The United Nations Humanitarian Response Depot(UNHRD) is a network of strategically located hubs established to support humanitarian organizations and the broader international community in responding to emergencies and crises. UNHRD provides essential services such as storage, easy access to critical supplies, and technical assistance.

THE ROLE

As a team member of the UNHRD hub based in Subang the Procurement Associate for the UNHRD Hub plays a crucial role in coordinating and administering local and regional procurement activities. Reporting to the Head of Operations, this position requires close collaboration with the customer service, logistics, and warehouse management teams within the hub.

KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive)

1.Provide operational coordination and administrative services to support procurement projects andactivities, adhering to standard processes and ensuring the effective procurement of goods andservices.
2.Identify and recommend potential suppliers, compiling data and documents to support the selectionprocess, ensuring adherence to standard procurement procedures.
3.Review, record, and prioritize purchasing requests, offering support to requisitioners to procureappropriate goods and services at the best value for money to UNHRD.
4.Contribute to negotiations with new suppliers on terms and conditions of orders, alongside a seniorofficer, to secure the best terms and best value for money for UNHRD.
5.Prepare Purchase Orders, contracts, and any supporting documentation for approval by the relevantstakeholder and approve purchases within delegated authority to facilitate swift procurement.
6.Resolve potential issues related to delivered goods by liaising with all parties and following standardprocedures to ensure timely and accurate resolution of problems.
7.Research, collect, and analyze data to produce reports that enable informed decision-making byProcurement Officers, ensuring consistency of information presented to stakeholders.
8.Manage updates and further develop databases and records to ensure information is accurate,organized, and accessible, supporting reporting requirements.
9.Maintain relationships with internal counterparts to align procurement activities with wider programs,ensuring a coherent approach to meeting food assistance needs.
10.Follow standard emergency preparedness practices to support WFP in quickly responding anddeploying relief items and needed resources to affected areas at the onset of crises.

SPECIFIC POST REQUIREMENTS (As required by the Hiring Manager)

Essentials:
- Informed decision making.- Excellent communication and negotiation skills.- Ability to work collaboratively with various teams and stakeholders

Desirables:
- Have certificate in Public Procurement, level 2-
- CIPS Accredited- Knowledge of another UN language at B level is an advantage- Experience working in a United Nations common system, international or non-governmental organization.
