**Position Overview**:
**Key Responsibilities**:
**Front Desk Operations**:
- Answer and direct phone calls to the appropriate personnel.
- Receive and distribute mail and documents.
- Serve as the first point of contact for addressing issues, concerns, and complaints, directing them to the relevant staff or departments for resolution.
- Administrative Tasks:
- Assist in file management, including record-keeping and document storage.
- Maintain and update inventory records for office supplies.
- Coordinate the submission of monthly Key Performance Indicators (KPIs) and staff reimbursements (travel, medical, overtime, etc.).
- Update and manage the overall complaints record and prepare monthly reports.
**Project Support**:
- Assist with land administration tasks (tax payments and land lot verification).
- Review outstanding dues for active/inactive tenants in the northern region.
- Follow up on outstanding payments from active/inactive tenants in the northern region.
- Participate in the residents’ census program for informal settlements.
- Negotiating payment plans and terms with customers to secure timely payments.
- Resolving customer billing inquiries and disputes promptly and professionally.
- Reviewing and analyzing customer accounts to identify delinquent accounts and potential credit risks.
- Working closely with Sales, Customer Service, and Finance departments to address customer issues and reconcile accounts.
- Monitoring customer payment patterns and recommending credit limits and terms adjustments as needed.
- Maintaining accurate records of customer interactions and payment statuses in the company's accounting system.
- Generating and analyzing aging reports to track overdue accounts and prioritize collection efforts.
- Providing regular reports and updates on accounts receivable status to management.
**Qualifications**:
- High school diploma or equivalent; additional education in administration or related fields is a plus.
- Proven experience in an administrative role, preferably in a commercial setting.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite and familiar with office management software.
- Ability to work independently and collaboratively within a team.
