**A. Administrative Responsibilities**
1.Meeting and Event Logistics
- Arrange setup for internal meetings and events, including tables, chairs, and backdrops.
- Coordinate banner or bunting printing as required.
- Manage refreshment arrangements for frequent visitors, including VIPs and auditors.
2.Administrative Reporting
- Compile monthly reports summarizing administrative activities and vendor-related performance.
- Highlight recurring issues and propose improvements.
3.Audit and Compliance Support (Admin Scope)
- Ensure administrative records are up to date and audit-ready.
- Retrieving relevant documents during internal and external audits.
**B. Security Responsibilities**
1. Security Guard Services Monitoring
- Supervise attendance, shift schedules, and performance of outsourced security
personnel.
- Validate security logbooks, visitor records, and checkpoint logs.
- Escalate misconduct or performance issues to the vendor or management.
2. CCTV and Surveillance Systems Oversight
- Monitor the operational status of CCTV systems and report any technical faults.
- Coordinate with vendors for maintenance, repairs, or footage retrieval when needed.
3. Incident Reporting and Security SOP Compliance
- Document and file reports for incidents involving unauthorized access, damage, or theft.
- Ensure proper enforcement of security SOPs and participate in their continuous
improvement.
4. Security Reporting
- Compile monthly summaries of security observations, guard performance, and incident
trends.
5. Audit and Compliance Support (Security Scope)
- Ensure all security-related documentation (e.g., post orders, incident reports, CCTV logs)
is properly maintained and accessible.
- Assist management and EHS during security-related audit sessions.
**C. Others**
1. Internal Training Logistics (HRA)
- Arrange training venues, seating setup, and audio-visual requirements.
- Coordinate meal or refreshment arrangements for training participants.
- Prepare training kits/materials and assist with participant registration and attendance
tracking.
- Calendarise the Annual Training Master Plan on a monthly basis and assist with reminders
and tracking.
2. Internal Engagement and Staff Appreciation Activities
- Calendarise monthly birthday celebration wishes using appropriate communication
- Coordinate with the HRA team for simple birthday or appreciation arrangements as
needed.
3. Other Duties
- Undertake any other tasks as directed by the Immediate Supervisor or Management from
time to time.
- Support the HRA department in general administrative matters or special projects when
required.
**Job Type**: Permanent
Pay: RM2,800.00 - RM4,000.00 per month
