OVERALL SCOPE OF JOB DESRIPTION
The Executive Secretary provides secretarial and administrative support ensuring that services are provided in an effective and efficient manner to the General Manager.
SPECIFIC DUTIES & PERFORMANCE RESPONSIBILITIES
1. To ensure all confidential and sensitive matters are strictly taken care and kept confidential at all times
2. All outgoing memos/letters/forms/meeting minutes are properly distributed
3. Attend and screen calls before passing through to General Manager or relevant managers and executive
4. Ensure telephones are answered according to standard and messages are conveyed at all times
5. Ensures that policies and procedures in the hotel are followed
6. Compose replies based on organisation practice, policies and procedures at the direction of the General Manager
7. Be proficient in letter-writing and correspond on behalf of General Manager when necessary
8. Respond to TripAdvisor Reviews on behalf of General Manager
9. Prepare travel requests for submission to Corporate Office and expense claim for General Manager
10. Book flight tickets and accommodation for General Manager on official or personal trips
11. Book flight tickets and accommodation for executives on official trips
12. To ensure good understanding and rapport with all department heads and department
13. Returning guests Lost and Found items via courier or parcel post and advising guests the cost and arrange payment to credit card with credit manager
14. Prepare prize vouchers and gift vouchers
15. Prepare Managers on Duty (MOD) roster
16. Prepare and print weekly Rainforest Times and Nature Trails
17. Maintain company mobile phone distribution
19. Adheres to company and departmental grooming standards at all times
20. To do any other duties as and when required by General Manager
Skills and Abilities:
1. Good in the use of Microsoft Office (Microsoft Power Point, Excel and Word) and Adobe InDesign
2. Good communications and writing skills
3. Excellent communication and interpersonal skills
4. Organised with the ability to prioritise and multi-task
5. Reliable with patience and professionalism
Qualification: Diploma in Private Secretarial
Experience: 5 - 10 years of relevant experience or similar head of department role, or an equivalent combination of education and work-related experience
Pay: RM5,000.00 - RM6,000.00 per month
