**About the Position**
**ADMINISTRATOR**
**Responsibilities**:
**Public Relations**
- Answer telephone calls
- Attend to all enquires. complaints and make appointments
- Attend to Parents/Visitors, show them around and explain our children age group/area
- Confirm and follow up with Principal on the child/children allocation
- Arrange for observation for new child/children before enrollment
- If the child is special, will inform Principal to do decision whether to enroll or not
- Administer necessary and compulsory duties such as temperature taking at arrival and dismissal periods.
**Parents Update & Engagement**
- Prepare and give out Parent’s updates as per the given dates.
- Keep records of children who are leaving and their last day of school (4 month notice is compulsory in order to get back their deposit)
- Follow up the last day of school for older children
- Update on projected children movement (forecast for 1 term)
- Remind parents on all school events
- Record all the monies collected on all school events and ancillary fee collection
**Accounts Matters**
- Issue receipts for all fees received
- Follow up on fees payment on every month and report to Finance Dept.
- Bank in cash and cheques received on a regular basis at least once a week.
- Submit insurance list for all new children
- Record petty cash and follow up on reimbursement
- Compile all supplier invoices
- Record and submit Casual Wages Form should we have temporary staff
- Adhere to Financial Procedures on Refund Policy for leaving children
- Submit timely records of all bills to Finance Department and maintain copies at respective centre
**General**
- Purchase and order groceries on own accord or from approved vendors
- Maintain regular inventory or stock take of all kitchen items
**Job Requirements**
- Preferably 3 years relevant working experience.
- Good in computer and Microsoft Office (Word, Excel & Powerpoint) and office management software
- Well versed in English & Bahasa Melayu. Mandarin will be added advantage.
- Strong written and oral communication skills
- Qualifications in secretarial studies will be an advantage
- Attention to detail and problem solving skills
- Knowledge of company policies and procedures
- Ability to work without supervision
- Exceptional in Customer Service skills
- Strong record keeping skills
**Working Hours**:
Monday to Friday - 8.00am until 6.00pm
